The Executive Assistant will provide support to the Vice President of Financial Planning and Analysis. This role will be located in Bloomfield or Philadelphia, but will need to understand how to support leaders of large global teams.
Key Responsibilities:
Perform diversified and confidential administrative duties for department head and senior leadership direct reports as assigned, utilizing broad and comprehensive experience, skill and knowledge of organization policies and practices:
Meeting and Calendar Planning: Schedule and organize internal and external meetings including Webex and conference calls and handles any necessary logistics for outside guests. Proactive logistical planning for a dynamic and demanding environment. Manage calendar system and look for opportunities to enhance efficiencies. Make last minute calendaring decisions based on priority and business needs using sound judgment. Advise of last-minute scheduling changes and communicate via e-mail, telephone and/or text message when appropriate
Staff Support/ Project Management: Attend certain key meetings to record minutes, track takeaways, follow up on action items, and manage invitations for guest attendees. Maintain department organization chart, email distribution lists and responsible for proactive follow up to ensure key deliverables are received in a timely manner.
Travel: Handle travel arrangements using Cigna's online travel booking tool
Expenses: Accurate and timely submission of expense reports as well as review, rejection, or approval of policy adherent expense reports submitted by team members
Onboarding: Plan and coordinate on-boarding and off-boarding of employees/contractors
Productivity Support: Secure help desk support as needed to trouble shoot/resolve key issues as they arise
Special Projects/Programs: Manage team-wide projects/programs as needed, such as team-building events/ all hands meetings etc.
Qualifications
Candidate should have a minimum of 5+ years of progressively responsible administrative and executive assistant experience. Experienced partnering with Senior and Executive Administrative Teams across a large dynamic organization
Collaborative team player that can build / maintain a team based environment with intra-department and Enterprise Administrative Assistant community and work closely with employees at all levels within the organization
Ability to represent the department using excellent verbal and written communication skills. Can work independently and maintain confidential information. Possess a strong sense of urgency and the ability to work in a very high-paced environment with the ability to manage multiple tasks.
Previous experience working at Fortune 500 companies highly desired
Expert skills with critical Microsoft tools, including, Word, Excel, PowerPoint, Outlook and its calendar functions
Professional demeanor with excellent verbal and written communication skills
High degree of integrity and accountability to delivery strong, high-quality outcomes
Ability to work independently and maintain confidential information in highly professional manner
Demonstrated flexibility, ability to adjust priorities, and a solutions-oriented mindset requires
Possess technical proficiencies with audio and voice equipment as well as mobile and desktop devices
This role is located onsite which expects most work to be performed at a Cigna office location, but may allow for some work to be performed at home. Employees must be fully vaccinated if they choose to come onsite. Currently, due to the pandemic, we are encouraging all employee to remain working from home and all onsite meetings require a virtual option. However, we expect that this role will likely return to being performed primarily at an office location.
