Job Description

Overview of role

The Adult and Family Learning Team deliver a busy programme of events for adult, family and general audiences both at the Museum in Covent Garden, the Museum Depot in Acton and off-site across the TfL network with heritage vehicles.

An Adult and Family Learning Assistant is sought to provide support to the team and its delivery of related activities, events and projects. The post holder will be accountable for co-ordinating a pool of volunteers and freelancers, maintaining high standards of organisation across the team and providing administrative support for the day to day running of the programme.  The post holder will be expected to be able to work independently, with an emphasis on efficiency.

Key Accountabilities:

The post holder will be required to provide general administrative support to enable to smooth running of the Adult and Family Learning team, its activities and events, such as: 

Resource management:

Ensuring team resources are accessible, organised and prepared for upcoming activities.

Ensuring image library is kept up to date and organised for use in promotional material, the website and other required marketing/ reporting activity for the team.

Volunteer, freelancer and STEM Ambassador co-ordination:

Providing administrative support for the recruitment of new volunteers for the Adult and Family Learning Programme, as required by new and upcoming activities.

Supporting the team in the planning and delivery of training sessions to ensure their smooth running

Building positive relationships with the adult and family volunteer, freelancer and STEM Ambassador pools, through consistent communication, to support their wellbeing and satisfaction.

Supporting the team in lead up to planned activities by coordinating volunteer and STEM Ambassador rosters as required.

General team administration:

Providing support to the team by assisting with general office administration.

Supporting the team’s post-activity evaluation processes, by inputting event and evaluation data and visitor feedback into reports.

Supporting the team’s financial administration, by keeping budget spreadsheets up to date for quarterly reporting requirements and annual operating planning processes.

Event co-ordination and delivery support by supporting the initial planning process of activities by scheduling event dates, booking internal meeting rooms and event spaces, and inputting basic event information.

Building positive working relationships with internal Museum teams involved in event delivery, to enable smooth liaison for basic event planning such as booking catering and staff.

Supporting team members in the development of events and activities, by undertaking tasks as required such as image and contributor research.

Supporting team members in the event set up and delivery of activities throughout the year as required, to ensure the smooth and successful delivery of the programme for our audiences.

Key Interfaces:

Internal interfacing with the Family Learning Officer, Adult Learning Officer, Adult and Family Learning Manager and School Learning Assistant and Freelance Educators and Programme contributors.

You will at times be required to interface with Volunteer Museum Learning and Resource Coordinators and the general public.

Skills, Knowledge & Experience 

Skills

Excellent administrative, planning and organisational skills and attention to detail. (Essential)

Ability to work under pressure, prioritise and manage time effectively to meet deadlines. (Essential)

Excellent written and verbal communication skills. (Essential)

Able to demonstrate initiative in solving problems as well as sound judgement on when to refer issues to managers. (Essential)

Confidence in engaging informally with audiences and readiness to ‘pitch in’ when necessary. (Essential) 

Able to work occasional evenings and weekends as the programme requires. (Essential)

Knowledge

Demonstrate a strong Interest in adult and family audiences and engagement in the cultural sector (Essential).

Have a strong Interest in educational engagement (Essential).

Be computer literate with a good working knowledge of MS Office products, able to learn new software and database packages (Essential).      

Demonstrate a basic knowledge of, and interest in, the history of London and its transport. (Desirable)

Knowledge of event management process and event management. (Desirable).

Experience

Ideally you will have previous experience of working in the heritage, museum and/ or cultural sector (Desirable) and demonstrate good experience of strategic stakeholder engagement.

Previous experience of providing administrative support role to a team and/ or programme.

Experience of working as part of a team, fostering a collaborative spirit.

Experience of delivering excellent customer care.
