Role Responsibility

Role Scope:

To support the Brand and VIP Experiences Lead and VIP Events Managers in delivering innovative, highly effective, market leading events which deliver against key business objectives. To research, plan and coordinate market leading VIP events that strategically drive engagement within our VIP customers. 

This wide role requires relationships across the business including Buying, Creative, Retail Operation and digital, helping to deliver events and experiences that support the brand identity and the customer engagement strategy and drive profitability and profile for Selfridges.

Key Purpose:

An enthusiastic Events Co-ordinator, you will work with the wider Events Team to implement the delivery of exclusive market leading events, projects and customer engagement strategies that ensure our VIP customers receive the most personal level of service, extraordinary experiences and tailored communications across all touchpoints.

You’ll support on multiple, simultaneous, complex projects, working with teams across the business.

You will touch base with all categories from fashion to food and across all stores as well as key external partners to provide support on both physical, digital and hybrid activity. You will be an excellent communicator who will keep everyone up to speed and will bring teams and stakeholders on the journey with you along the way.

Key Responsibilities:

  • Support Event Manager to curate, develop & deliver events and experiences across all stores and online
  • Communication of projects to all key stakeholders from Project Packs to Critical paths and developing agendas and timelines and post event wash-ups
  • Collaborate with Customer Engagement Team and Retail Operations Teams to communicate projects effectively to the customer via the newsletter and other channels
  • Support and coordinate direct customer communications in collaboration with the VIP teams, ensuring our VIP customers are kept informed regarding event and experience details
  • Work with internal business stakeholders such as Customer Engagement, Personal Shopping, Buying, Graphics, Multimedia Creative, 3D Creative, Visual Merchandising and Retail Operations on project briefs and delivery
  • Coordinate conversations with external partners and suppliers to ensure that project deliverables are met
  • Support Event Manager in the management of project budgets, raise POs and manage suppliers
  • Develop and maintain regular meetings coordinating between Customer Engagement and events teams to ensure streamlined communication and workflow
  • Prepare and manage regular reporting documents in a timely manner, tracking event statistics and insights for project and status report
  • Research events and create presentation materials for projects
  • Vendor contracts and agreements working with our in-house legal team
  • Ensure all events meet Health and Safety and Security standards
  • Brief in Graphics and Creative in a timely manner for events collateral and builds
  • Work with regional Events teams (Birmingham, Manchester Exchange and Manchester Trafford) and ensure VIP events across all stores are coordinated
  • Delivering and coordinate events on the day and in the build up with physical set up, tech set up and staff management

 

The Ideal Candidate

Key skills:

  • 2 years experience in Events including digital experiences & Marketing (preferably Luxury retail)
  • Great and natural ability to network, develop internal/external contacts and working relationships across a diverse range of functions
  • Excellent written and presentation skills
  • Excellent verbal Communication skills
  • Excellent planning and organisational skills
  • Excellent budget management
  • Strong time management in a fast paced and multi-faceted environment
  • Strong understanding of VIP customer
  • Enthusiasm and passion to deliver innovative, creative and exciting projects

 

Person Specification:

Qualifications/ Training

  • Educated to A-Level standard or equivalent

 

Technical Skills:

  • Microsoft Office/ Powerpoint / Excel / Word

  • Able to communicate clearly and efficiently with people at all levels in a variety of functions
  • Confident, determined and resilient
  • Able to work quickly and accurately
