As a Team Assistant, you will ensure that all Office functions are performed promptly and efficiently, and the Reception is maintained to the highest standard. You will provide general support to all BCG staff and facilitate its effectiveness in providing service to BCG clients. You will participate in the daily life of the office, contributing to BCG positive image among clients and external parties. The Team Assistant represents BCG to all internal and external contacts in a manner consistent with BCG’s value statement. This means taking full responsibility for the maintenance of a demandingschedule, providing administrative support to Principals, Associate Directors, Partners and Associate Directors.
YOU'RE GOOD AT
• Managing all internal processes related to stakeholders and assist them with personal and business-related tasks• Interacting daily with callers and guests, including suppliers, pony express and couriers• Ensuring efficient turnaround of all messages and when necessary take appropriate action to ensure urgentmessages are relayed without delay• Receiving guests, establish their identity and advise the appropriate staff member or deal with them asappropriate• Managing the room booking process to ensure all requests are handled in an efficient manner• Managing and maintain agendas and calendar, organizing and scheduling mainly internal meetings, arrangingconference bridges, reserving conference rooms, organizing food service• Coordinating point-to-point travel needs (car, flight, hotel, etc.)• Prepare weekly timesheet and expense reports• Copying, proofreading, printing, collating, binding, and distributing case-related materials as required• Typing and proofreading letters, slide decks, memoranda, etc.• Teaming with other Team and Executive Assistants and provide back-up assistance as needed• Maintaining quality control by proofing work for errors, consistency, and format in accordance with BCGestablished guidelines• Maintaining highest levels of internal and external confidentiality• Team with Security Team in maintaining a centralized electronic filing system for case-related materials
YOU BRING (EXPERIENCE & QUALIFICATIONS)
• Bachelor's Degree or equivalent• At least 1 year administrative/secretarial experience• Excellent skills in Outlook, Word, PowerPoint and Excel• Excellent communication skills (written and oral)• Excellent level of written and spoken English and Greek
