Job Summary

Perform all phases of administrative and executive support of a complex and confidential nature for the assigned Senior Vice Presidents.

 

Responsibilities will include, but are not limited to, liaising with internal and external contacts globally to ensure business meetings and travel arrangements and other special projects are completed as required by the business.  Coordinates and assists in a wide range of various projects in the field of Human Resources and Customer Experience.  This position will assist the senior staff in tracking and coordinating various projects.  The assistant may also support in operational projects that may be required in all functions and regions. 

 

Additional responsibilities may include originating correspondence, preparing presentations and reports, coordinate meetings for Senior Staff (domestic and Global, internal and external), and maintain calendar and monthly itineraries. 


Job Function and Responsibilities

  • Assist in the development, planning and implementation of projects.
  • Coordinate functional activity and work with assigned Senior VPs to accomplish goals.
  • Liaise with internal and external contacts in various countries on business meetings, travel plans, etc.
  • Manage the assigned SVP’s calendar as it relates to meeting arrangements and preparations both domestic and international.
  • Manage multiple requirements as dictated by Senior Staff and delivering superior customer service to both internal and external customers. 
  • Ability to manage confidential information, balance priorities and deadlines and ensure duties completed in a timely and accurate manner. 
  • Ability to sort and relay needed information to management, peers and other employees as required. 
  • Knowledge of general office practices and procedure to include the knowledge of how large organizations implement business policies and procedures globally.
  • The individual must be able to work independently under general supervision, handle multiple assignments, set own work priorities and meet all deadlines. 
  • Communication with others will be internal and external and require knowledge of how to conduct business globally and knowledge of the culture in other countries to include Germany, Switzerland, France, and Brazil.  Internal and external communication will be a very important requirement for the position.  

 

ESSENTIAL SKILLS:
QUALIFICATIONS AND EXPERIENCE

  • Six to eight years of experience in administrative support at a senior level.
  • Customer service experience preferred to manage relationships both domestic and globally
  • Proficient in Microsoft Office product suite (Word, Excel, PowerPoint)

Associates Degree a plus
