Key responsibilities

• To work with the Scheme Events Leads and Scheme Event Manager to deliver requirements for Scheme Events and Projects (time scales, deliverables, quality, sign off) and to input into the planning process.
• To review the work of Pensions Data Technicians and provide feedback and technical support.
• To be responsible for the accuracy and quality of Scheme Events and Projects.
• To correspond and build working relationships with clients and Capita colleagues.
• Identify and report risks and breaches immediately to line management and/or the Operational Risk & Compliance Department.
• Regularly review the effectiveness and efficiency of existing systems and controls and make suggestions to continually enhance service delivery, improve processes and reduce potential complaints and business risks.
• Identifying and reporting risks and breaches immediately to the Breach Specialists and Service Delivery Manager and to the Operational Risk & Compliance Department and ensuring the appropriate controls are in place to facilitate this.
• Adhere to Quality Management Systems and comply with pensions and FCA regulations and initiatives, for example, Treating Customers Fairly (TCF).
• To support and assist the management team where required in all aspects of service delivery and business support for example, ad hoc projects, auditing, etc.

Key tasks

• To lead on the delivery of assigned projects and scheme events.

• To promote the provision of a first class experience for customers and to share knowledge and expertise with other team members.
• Record time accurately in the Workflow+ system.

• Performs data processes, including the following:
o Running and specifying data extracts from the administration system including bespoke reports.
o Transforming extracted data or data received into the required format and structure
o Performing and specifying data uploads to the administration system
o Building Mail Merge letters
o Performing bulk calculations in Excel
o Building and enhancing Excel templates and macros for regular jobs
• Creating audit trails of all work and communications using the Team’s best practice.
• Testing bulk communications and calculations using the Team’s best practice.
• Providing project updates and time scales to Scheme Events Leads, Project Managers and Scheme Event Manager.
• Identifies opportunistic income work and provides cost estimates to the client and commercial teams.
• Acts as an Subject Matter Expert for large internal change and client projects.

Knowledge of DB and/or DC schemes:

Pension member records and their set up

The relationships between members, trustees, schemes actuaries, funds and investments

Can demonstrate adherence to compliance guidelines and comply with all relevant regulatory policies, including completion of mandatory training

An understanding of the impacts of regulatory and legislative changes and these effect day to day administration

Pension administration and work management systems:

Database structure, how member record types are linked

Basic scheme parameters, such as Factor Tables and Benefit Types

System utilities such as Valuation Extract and DC Operations

Workflow+ and the entries required for this

Project reporting and RAID logs

Excel Experience:

Excel - Demonstrate the ability to use filters, sorting, pivot tables (rows, columns, grouping, filters and totalling).

Excel – Can use complex formulas including lookups, IF and nested IF statements, date calculations and formatting of cells to specific guidelines.

Excel - Can import data/text files and use data validation.

Excel – Can build complex manual proforma spreadsheets. Can set up static databases and link to proforma.

Word – Can set up mail merge documents and conditional formatting rules.

Macros/VBA –set up macros to automate routine tasks. Program mail merge code.
