Job Description

Disneyland Resort’s Operations team is seeking an Executive Support Professional to join the Catering and Convention Services department. This role is an essential part of the team that supports multiple group sales markets that create and develop innovative, productive and memorable conventions/meetings and events aimed at exceeding client, guest and attendee expectations.

This position reports to the Catering & Convention Services Assistant Director with additional support to Catering and Convention Services Managers.

This role provides administrative and clerical support to the Catering & Convention Services department, which includes assistance to all Catering & Convention Services guests/clients requiring menus, diagrams, directions, shipping, and hotel services. The role also provides assistance ordering all items such as special equipment, costumes, floral, and any other products needed to ensure the success of the events, including banquet event orders. The ability to apply knowledge of departmental policies and procedures and utilize a general understanding of other department functions is essential.

Responsibilities

  • Compile, distribute and update information from client for prospectus/resume and banquet event orders (BEO) and make any necessary changes accordingly
  • Assist in BEO meetings, including coordinating information for meetings, and weekly communication of details to the leadership team
  • Field high volume of incoming calls and face-to-face guest inquires to determine if they can be handled directly or go to the appropriate Services Manager
  • Liaise between clients and hotel departments by processing guest requests (collateral - brochures, slides, photos, etc; exhibitor - telephone and electrical forms)
  • Type, file, and mail departmental correspondence including introductory letters, welcome amenity cards, thank you letters, memos, trip authorizations, expense reports, and information packets
  • Assemble introductory package for all new files, and order welcome amenities for incoming group officials
  • Assist clients of affiliate groups with duties that include booking meeting spaces, negotiating room rentals, creating new files in Advanced system, and assisting with food/beverage requirements, confirmation letters, banquet event orders, and credit approval)
  • Serve as contact for Catering & Convention Services Manager while convention is on-property, with duties that include sending pre-convention notification, arranging pre-convention meeting signs, attending pre-convention meetings, preparing client information books prior to pre-convention, and handling any on-site client requests
  • Handle post-convention follow-up such as postcon reports, VIP gifts, thank-you correspondence, convention bureau report and file tear-down
  • Work with Amadeus/Advanced, Diagram System AHD, DIME and CROC

Required Education

High school diploma or equivalent

Additional Information:

  • Approximately 90% of job duties are performed in a climate controlled office environment with heavy phone and computer usage while sitting at a desk
  • Approximately 10% of duties involve walking to and from various areas in the outside environment

This role is considered hybrid, which means the employee will work a portion of their time on-site from a Company designated location and the remainder of their time remotely.
