Job Summary:

Walt Disney Imagineering (WDI) is the master planning, creative development, design, engineering, production, project management, and research arm of The Walt Disney Company’s (TWDC) Parks and Resorts business segment. Representing more than 150 disciplines, the talented corps of Imagineers are responsible for the creation of Disney resorts, theme parks and attractions, hotels, water parks, real estate developments, regional entertainment venues, cruise ships and new media technology projects.

WDI is looking for an administrative support professional (Project Hire) to assist the WDI Project Team.

Responsibilities:

Responsibilities include, but not limited to:

  • Think ahead about little things that can turn into big problems and be proactive in finding a solution;
  • Prioritize workload according to Project deadlines and handle interruptions through-out the day with an approachable attitude and assist Project Team when an emergency arises;
  • Use teamwork to do the job better, faster, smarter;
  • Plan events like birthdays, service anniversary recognition parties, lunch-and-learns and team-building activities;
  • Assist with on-boarding new employees – you’ll be the “friendly face” that newbies count on to answer all their questions;
  • Schedule meetings, along with reserving a conference room, for the Project Team. In most cases (given the bi-coastal nature of the project), set-up meeting with Zoom video calls;
  • Develop working knowledge of conference room systems and assist Project Team when needed;
  • Order food for breakfast/lunch meetings and assist with set-up/clean-up;
  • Assist in planning Team events, including in-office functions, virtual gatherings (via Zoom), and remote events (at/near Disneyland Resort, at/near Glendale offices, etc);
  • Via Concur and American Express, book travel for Project Team as well as RSR requests for contractors and vendors as needed. Prior to booking any travel, ensure Travel Authorization has been signed and approved by the Project Team Leadership and Finance. Also secure required job number for expensing;
  • Via Concur, complete expense reports on behalf of Team members;
  • Enter backstage gate clearances into EZ Lobby as requested by Project Team;
  • If requested, take meeting notes for any Project Team meeting;
  • Work with Direct Leader to incorporate additions, changes, or deletions within the Project Team into seating arrangements and tap access into the building;
  • Obtain Green Badges for Project Contractors, Independent Contractors, and Vendors;
  • Generate Purchase Orders and check requests, as needed, in SAP;
  • Make an inventory of the office supplies, then devise a more efficient way to keep things in stock for your specific Project Team;
  • Adhere to Project Intellectual Protection Guidelines by watermarking confidential documents, posting onto Project Team BOX sites, as needed, and securing/shredding documents left at printers, plotters, or conference rooms;
  • Enter your time into required system (SAP or IQN) on a weekly basis by following the company’s guideline for Accurate Time Recording; and
  • Complete all required Computer Based Training in D-Learn in a timely manner.

Basic Qualifications:

  • Minimum two years in a Secretary role;
  • Strong organizational and follow-through skills, orderly and detail-oriented with ability to handle multiple work streams simultaneously, prioritize work and accurately and efficiently archive documents and work products Ability to appropriately respond to and resolve issues with little direction;
  • Excellent written, verbal and interpersonal communication skills to assure professional interaction with senior executives, internal partners, and external contacts;
  • Strong command of English grammar skills with an ability to prepare correspondence from notes, meetings and author documents and reports;
  • Ability to work effectively in a team environment;
  • Ability to manage time wisely and prioritize effectively;
  • Ability to anticipate needs, take initiative, proactively solve problems and use sound judgment;
  • Demonstrated ability to handle confidential and sensitive information;
  • Enthusiastic attitude and strong work ethic; and
  • Strong computer/technology skills, including but not limited to Microsoft Outlook, Concur, SAP (T&E, Life Events, Time Processor, Employee ESS, Casual Buyer), Internet Explorer and internet-based research, and video teleconferencing systems and services.

Preferred Qualifications:

  • Administrative experience in a corporate environment with proven success interacting, partnering and networking with all levels of management in a fast-paced dynamic environment.
