Responsibilities:
Assisting the Principal in the administrative aspects of the secondary schoolManaging a team of 5 Administration staff membersAdministration:Communicating with members of the department to ensure that administrative tasks are completed in a timely mannerAssess situations objectively and propose the most appropriate solutionsEditing web pages related to the departmentOrganising systems and maintaining an accurate and up-to-date databaseCommunicating in the context of decisions and guidelinesHandle correspondence (letters, emails, etc.)
for the schoolManage the Principal’s calendar and organise travel, meetings etc.Participate in the preparation of documents, texts to be published in the different newsletters and speeches and ensure possible translationsOrganise interviews following the publication of job vacanciesEnsure room booking and logistics as required (including setting up, ordering refreshments etc.)Ordering equipment for the department and following up on ordersPublish and update school calendars, internally and externallyCommunicating with administrative departments (HR, Admissions, Accounting, ICT, etc.)
in the different processesOrganise parents’ eveningsProvide reports according to contextCommunicate with the marketing department for the preparation of brochures, etc.Editing school related web pagesKeeping confidential school documents secure and sending them to external agencies with great diligence when necessaryBudgets and payments:Manage some budgets/paymentsAssist the head teacher with budgetary controlsMonitor hours worked by personal assistants and process payment and billing to parentsMonitor and prepare invoices for external services and ensure payments are madeSupport the organisational structureQualifications required:
