The Admin Assistant post is vital to the running of Recruit Training Squadron (RTS) and entails multiple data entries and extractions. This ensures that recruit details are entered into a service personnel database known as Training Administration Financial Information System (TAFMIS). The role also requires the holder to oversee and conduct discharges and re-flight administration in an efficient manner, ensuring all personnel files are kept organised IAW GDPR.
This post is advertised as 37 hours per week.
The post will be based at RTS HQ, within the Henderson site at RAF Halton.
The successful applicant for the RTS Admin Assistant role will become part of the Trenchard team, comprising of a Flight Commander, a Flight Sergeant and 2 x Corporals. They will be an essential contributor to the Trenchard team, overseeing the input of all recruit details into the Information Management database known as TAFMIS, this enables the tracking of recruits through basic training and onward into the wider Royal Air Force. Due to the data entry requirements of the role, all personal information needs to be held in accordance with GDPR.
The successful applicant will also be required to assist the 6 recruit intakes in the administration of the Basic Recruit Training Course, this includes the processing of Transport requests, arrival procedures, production of official documents and supporting the Squadron Adjutant in the organising of recruit graduation parades.
The post holder will:
Provide vital support to Recruit Training Squadron by completing important administration tasks such as;
Maintenance of recruit details on TAFMIS and RTS Spreadsheets.
Initiating the procedure for discharge of recruits and the administration and control of the re-flight procedures.
Collection, distribution and dispatching of all official and personal correspondence.
Preparation and dispatch of letters and photographs of Pass-Out Parades to all relevant parties.
Organise Trade briefs with Phase 2 schools.
Maintenance of Sqn files including Archive and recruit files, ensuring the correct handling and transmission IAW the Data Protection Act.
General RTS Admin Duties; answering telephone calls, deal with queries and co-ordinate RTS Duty Driver.
Manage the demand, issue and control of stationery.
Support the Squadron Adjutant in the organisation/administration of Recruit Graduation Parades.
General Basic Recruit Training Course administration.
