Job Purpose

We have a new opportunity for a Purchasing Administrator to provide procurement support for the Trust. Our administrators are valued members of the team, essential to the effective purchase of goods and services.

 

Location

The role will be based working from home, with the allocation of a nearby Hub for collaborative working in either our Leeds, Birmingham, North West, Newark, Gloucester or London offices.

 

Some travel to other Trust locations, including in-person collaboration with colleagues, can be expected but will be ad hoc and on an ‘as required’ basis.  

 

Knowledge, Skills/Qualifications & Experience

Key Accountabilities

 

To ensure all Purchasing financial transactions are performed in accordance with the trust’s policies and all applicable statutory laws and regulations

  • Control, maintain and update supplier databases in SAP.
  • Maintain formal contract agreements.
  • Manage the efficient and accurate processing of purchase orders for goods and services.
  • Maintain compliance with all Company and Regulatory requirements which includes, but not limited to Company Financial Regulations, Procurement Policy and procedures.

Administration support for Procurement Team

  • Administrative support for selected framework agreements.
  • Analysis of tender information and data.
  • Spend analysis reports.
  • Support procurement team with tender processes.

Act as point of expertise to colleagues in following Canal & River Trust’s processes and procedures, providing training as required

  • Maintain good working relationships with all internal departments in order to ensure excellent understanding of business requirements and adhere to procurement, contract management and Regulatory requirements.
  • Facilitate and resolve internal / external queries relating to Procurement Administration.

Effectively Manage good working relationships with all suppliers & contractors ensuring the Trust is a preferred customer in supply chain management terms

  • Communicating with other parties to ensure payments to suppliers are not unnecessarily delayed. or outside contractual agreements that exist.

Use Canal & River Trust internal systems primarily SAP

  • Skills to raise approve purchase orders and raise new suppliers.
  • Testing system updates when required.

Knowledge, Experience & Skills

  • Educated to GCSE level including Maths & English.
  • Experience of Purchasing.
  • Communication skills that allow you to inform, help and provide advice to customers clearly and professionally.
  • Ability to understand and implement organisational policies.
  • Experience in SAP skills particularly within the Purchasing (MM) SRM, desirable.
  • Confident in the use of word processing and spreadsheet software.
  • Ability to manage workload.
