The Project Coordinator role will support the US Oncology Portfolio Marketing team responsible for leading the Portfolio Marketing efforts, Channel Strategies and Regional Marketing for the US Oncology business.  The role will support the Executive Director, U.S. Portfolio Marketing Lead, four Directors as well as provide as needed assistance to the broader team.  We are looking for a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment. This individual must be able to think proactively, work independently and make decisions on behalf of manager about calendar and travel events, as well as work professionally with matrix team members.    

Responsibilities:

  • Demonstrates integrity and ethics in all aspects.
  • Build relationships easily with executives and business leaders outside the team.
  • Facilitate multiple projects, prioritize competing demands, and requests – taking initiative to adjust or change priorities as needed.

Administrative Support:

  • Provide administrative support to the Lead and four Directors for day-to-day operations and individual projects as needed
  • Calendar management as well as timely scheduling to ensure meetings are prioritized and occur with appropriate timelines
  • Responsible for scheduling and organizing on-site & off-site assigned staff meetings including logistics and agenda setting
  • Ensure manager’s preparedness for meetings (e.g., assemble meeting materials & pre-reads)
  • Adhere to T&E policies, including booking travel (domestic & international) and monthly reconciliation of business expenses, manage travel itinerary, accommodations, and related activities
  • Work with HR for recruitment, i.e., liaise with interviewees, scheduling of interviews etc.

Project Support:

  • Ensure a team integration; prepare a plan for team building and team cohesiveness. Advises the team lead on team dynamics improvement opportunities
  • Support new hires by coordinating with HR, IT, etc. for onboarding new team members
  • Take minutes of team meetings, posting them on share point or dedicated team space
  • Assist with editing, formatting, and transcribing notes to relevant documents, such as word documents, PowerPoint (i.e., presentations, strategic and tactical documents)
  • Support the team for key processes, such as medical or brand planning, i.e. strategic and tactical planning
  • Coordinate with procurement and monitor process of developing a new Master Service Agreement (MSA) with a new vendor. 
  • Scope of Work (SOW) coordination & management – Coordinate with multiple parties to ensure SOW’s are developed and approved.
  • Support internal process to close regional marketing programs upon completion.
  • Provide logistical support for Congress activities and attend matrix team meetings as needed.
  • Other duties related to the above as assigned

Requirements:

  • High school or GED required, preferably administrative school graduate or scientific degree
  • 5+ years of administrative experience; preferably in the pharmaceutical industry along with prior BMS and Executive Associate experience

Preferred Requirements:

  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint). Knowledge of BMS Systems and Processes, video conferencing and Microsoft teams
  • Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup/411, Workday, Room Scheduler
  • Excellent communication skills (oral and written)
  • Project management skills, i.e., effectively manage multiple priorities
  • Ability to communicate well one on one and small group
  • High quality standards, attention to detail, tenacious follow-up
  • Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other project coordinators/external partners, across organizational levels and functions
  • Successful candidate must be able to learn new tools and systems in an ever-evolving environment
  • Good analytical and planning skills
  • Exhibits a positive work attitude, and high productivity
