Job Description

The OSCE Secretariat in Vienna assists the Chairmanship in its activities, and provides operational and administrative support to the field operations, and, as appropriate, to other institutions.

The Office of the Co-ordinator of OSCE Economic and Environmental Activities (OCEEA) deals with economic and environmental issues, operating under the premise that promoting economic prosperity and co-operation on environmental problems can contribute to international security and stability. The OSCE's role is twofold: a) to monitor economic and environmental developments among participating States, and alert them to any threat of instability, and b) to facilitate the formulation of economic and environmental policies and initiatives among participating States, to promote security. The Office currently comprises 22 staff members.

Within the OCEEA, the Economic Governance Unit (EGU) works to bolster economic co-operation and good governance throughout the OSCE region by promoting the principles of good governance and by supporting participating States in narrowing socio-economic disparities, developing effective migration policies and combating corruption and money laundering.

Tasks And Responsibilities

The OCEEA-EGU has launched the E-MINDFUL project (Enhancing European MIgration Narrative to Develop Further Union's Long-term actions) that aims to provide guidance on how to leverage balanced and fact-based communication on migration to foster social cohesion, de-polarize the public perception of migrants and prevent further divisions and instability in hosting societies. The project – co-funded by DG HOME and implemented in partnership with the ILO and the Observatory on Public Attitudes on Migration at the European University Institute (OPAM/EUI) - will involve countries in the EU and in the Western Balkans (Austria, Bosnia and Herzegovina, Germany, Italy, North Macedonia and Serbia).

The Work Will Include The Following Tasks

Under the supervision of the Economic Affairs Officer, the Project Clerk will, support the implementation of the Project E-MINDFUL and assist the project team in conducting their day-to-day activities.

  • Performing general office support services for the E-MINDFUL project team, including a variety of administrative duties such as meeting, seminar and event organization;
  • Maintaining the E-MINDFUL project's general e-mail inbox and multiple databases of contacts related to the E-MINDFUL project's internal and external partners;
  • Drafting correspondence and documents including meeting notes and conference reports and replying to routine correspondence;
  • Assisting the co-ordination of communication activities of the E-MINDFUL project: newsletter, blog and podcast with the Secretariat's COMMS team;
  • Assisting in uploading all relevant material on the E-MINDFUL Project website and other relevant communication tools and means and assisting in updating regularly contents as appropriate;
  • Creating video reports of the E-MINDFUL events and assisting in designing and implementation of social media campaigns;
  • Creating on-line polls and surveys for feedback collection purposes;
  • Performing any other related tasks as assigned.

Necessary Qualifications

  • Completed secondary education, supplemented by formal training or studies in secretarial or administrative work;
  • A minimum of two years of relevant experience in event organization/office support and communications related activities;
  • Good analytical, research and drafting skills; experience with data collection and elaboration is an asset;
  • Good organizational skills with ability to process/classify information quickly and efficiently;
  • Experience in video making, social media messaging and campaign development;
  • Excellent command of Microsoft package, particularly Excel and other tools for the creation of databases, including other tools for interactive presentations, synthetic and catchy outlines/diagrams;
  • Professional fluency in English; knowledge of other OSCE languages would be an asset;
  • Ability to work under time pressure and with tight deadlines;
  • Demonstrated gender awareness and sensitivity, and ability to integrate a gender perspective into tasks and activities;
  • Experience of working in a multilateral/multicultural environment is desirable;
  • Ability to establish and maintain effective and constructive working relationships with people of different national and cultural backgrounds while maintaining impartiality and objectivity.

Remuneration Package

Monthly remuneration, subject to social security deduction, is EUR 1,498 a month. OSCE salaries are exempt from taxation in Austria.

Social benefits will include possibility of participation in the Cigna medical insurance scheme.
