Job Description

ABM Technical Solutions is seeking a full-time Project Administrator for the Canonsburg, PA branch. The position supports the efforts of the project manager(s) and site supervisor(s) on delivery of BES/HVAC projects. The position will work under the direction of the project manager(s) and site supervisor(s) to assist in the planning, scheduling, control, and effective coordination of all parallel activities related to the execution of multiple projects of moderate to high complexity, from concept through close-out.

  • Assist the project manager in driving BES/HVAC projects to completion on time, in accordance with established quality standards, procedures, and profitability goals.
  • Handle details related to conducting research
  • Draft & generate reports and update project management tracking systems
  • Field calls from vendors, clients, and subcontractors
  • Assist with PO and Subcontract generation, obtain and file required W9s, COIs, P&P Bonds, etc.
  • Track purchase orders for the procurement of materials and equipment
  • Maintain all project records, correspondence, and documentation in an orderly manner
  • Manage subcontractor security and background clearances
  • Record keeping of certified payrolls from subcontractors and internal workforce
  • Assist with acquiring weekly progress reports and monthly subcontractor and vendor invoices
  • Assist with the administration of project schedules, progress updates, bids, RFI’s, submittals, and change requests
  • Assist with revenue reporting, monthly billings, coordination with AP, & the local branch finance dept.
  • Achieve a high-level of customer satisfaction through effective communication with all levels of the organization both verbally and in writing.
  • Ensure all safety and security regulations are closely adhered to; complete related documentation as required.
  • Assist with generation of project permit acquisition and close-out submittal documentation
  • Other duties as required
  • Must have experience with: Energy, HVAC, or Construction projects. Understand subcontracts, invoicing, accounts payable, man-power management (technicians, subcontractors) project planning, coordination, change order, RFI and close-out procedures. Possess strong PC skills and be proficient with Microsoft Excel, Word, and Project; ability to problem solve, multi-task, and take direction from project leaders with minimal oversight, to meet deadlines and profitability goals.

Minimum Requirements

  • 5+ years’ experience assisting with large projects with multiple subcontractors of various industry disciplines.
  • Basic understanding of construction verbiage and concepts
  • Understand project costs, revenue, profit, and markups
  • Well organized with strong planning skills
  • Formal training in a related technical discipline or Associates Degree in business or accounting, a plus
