Job Description

WHAT YOU’LL DO  

  • Provide technical, administrative, analytical, document management, and overall coordination support to the PMO team.
  • Ensure efficient Front-End Planning, Project Execution and Project Closure activities.
  • Responsible for providing access and updates to the documents and resources available to project teams via the various document repositories (i.e., SharePoint). This individual will be available to train project team members on access, availability and proper use of documents and resources for the entire project lifecycle.
  • Take a leadership role in organizing and coordinating the activities needed to properly support the content, delivery and training of onboarding new PMO staff.
  • Facilitate the development, training and delivery of best practices in project management and business excellence to meet and or exceed customer needs.
  • Act as point of contact for project reporting & updates.

MAIN RESPONSIBILITIES

  • Responsible for tracking and updating of program metrics with associated required reporting.
  • Project lifecycle (including document requirements for Front End Planning, Project Execution and Project Closure activities) for regular updates to these materials and regular updates and maintenance of the entire AN PMO SharePoint site.
  • Responsible to provide training and support to any project team members with project lifecycle requirements.
  • Responsible for updating content and metrics associated with monthly project review board meetings.
  • Interface with external suppliers to collect pertinent project information.
  • Participate in project assessments (i.e. Gate Reviews) and communicate lessons learned.
  • Responsible for execution of scope change management and project close-out processes.
  • Provide cross-functional forecasting, tracking, reporting and oversight on project budget, expenditures, and metrics.
  • Collaborate with representatives from appropriate functional areas across the division to meet PMO objectives.
  • Provide project support, as needed, by creating SAP shopping carts, review supplier invoices, report cash flow, etc.
  • Plans, organizes, and prioritizes own daily work routine to meet established schedule. Exercises authority and judgment within defined limits to determine appropriate action.
  • Individual is expected to apply skill sets to situations and seek necessary knowledge to resolve issues. Do what is necessary to deliver expected customer service levels.
  • Multi-task and stay focused through interruptions.
  • Strong interpersonal skills are essential to the job.

EDUCATION AND EXPERIENCE, YOU’LL BRING:

REQUIRED

  • Associates Degree
  • Minimum 3-5 years in project management, administration (or similar) experience.
  • Knowledge of basic project management principles.
  • Effective customer service skills to interface with all levels of internal and external personnel.
  • Strong organizational skills to handle multiple issues concurrently.
  • Ability to exhibit persistence and diligent work ethic with a very positive “can do” attitude.
  • Demonstrated skills in collaborating and influencing cross-functionally.

PREFERRED:

  • Bachelor’s degree
  • Minimum 8 years
  • Proficient computer system skills and an understanding of basic elements of capital project management, including front end planning, execution and closeout.
  • Analytical and problem-solving skills associated with data preparation, process improvement and the management of multiple diverse systems required.
  • Comprehensive understanding and demonstrated proficiency with all MS Office applications; document management software and computer-based systems including SharePoint and other documentation collection software packages.

CERTIFICATIONS:

  • PMP Desired but not required
