Job Description
The Payroll Supervisor manages a team responsible for payroll processing at a fast-paced, high-growth organization to include multi-state weekly, bi-weekly, and semi-monthly payrolls. Responsible for managing workloads, coaching/training/mentoring staff, reviewing/approving processed payroll, researching and explaining variances falling outside of established thresholds, ensuring adherence to company policy/procedure and SOX controls. This role will also review, and revise payroll procedures as needed and drive process efficiencies. This role will serve as an escalation point for payroll related inquiries and will respond to frequent and urgent requests for information relating to payroll, payroll policy matters, and requires exceptional attention to detail, problem solving and customer service skills. This role is part of a large payroll team so must be a dynamic leader to drive change within the organization.
Essential Functions
- Supervise 6 direct reports
- Supervise, coach, train, and mentor staff; establish/maintain procedures, schedules, and workflow for the payroll team
- Supervise day-to-day payroll operations of assigned pay cycles for hourly JDE processing team, ensuring accurate and timely payroll processing
- Assist with payroll processing and check distribution as needed
- Ensuring payroll records are accurate, complete, and well maintained
- Identify areas for improvement and efficiencies by partnering closely with payroll management, HR Shared Services, Operations,
- Legal and other internal stakeholders to establish best practices for payroll
- Partner with Accounting team to ensure accurate general ledger reporting and provide reconciliation support as needed
- Drive process standardization, automation, and continuous process improvement to ensure efficiency and effectiveness
- Professionally develop team members by conducting regular evaluations against defined expectations
- Act as point of escalation for payroll processing team to identify, track, document, and resolve errors, and proactively further escalate unresolved items to payroll management
- Ensures payroll processes are administered in compliance with established SOX controls, internal company policies as well as applicable federal and state regulations/legislation, including applicable wage and hour laws
- Perform analysis, generate reports, and assist where needed on special projects that will streamline payroll processes and improve procedures
- Represents the team effectively; build trust and credibility and maintains confidentiality of sensitive payroll information
- Assist with special projects as needed
- Review ServiceNow dashboards and follow-up on unassigned/aged cases sitting with assigned payroll processing teams
Minimum Requirements
- 5+ years high-volume payroll processing experience required, preferably in a shared services environment
- Experience dealing with multi-company/multi-state payroll processing
- Prior supervisory experience
- Must have experience dealing with union payroll and complex state payroll processing requirements
- Experience processing payroll using JD Edwards payroll system preferred
- High-school diploma/GED required; college degree preferred. FPC/CPP certification highly desired
Qualifications – Other Skills, Abilities & Knowledge
- Must be proficient in MS office applications, intermediate to expert level Excel
- Comfortable using ad hoc report writer applications (ReportsNow/Insight)
- Knowledge of ServiceNow a plus
- Must be a quick learner and adaptable to a fast-paced payroll environment
- Must possess attention to detail to be successful in this role
- Capable of handling multiple tasks, prioritizing work, and meeting strict deadlines
- Ability to secure confidential information
- Must possess a professional, proactive, enthusiastic attitude and complete assigned tasks with minimal supervision
- Possess a continuous improvement mindset to identify and lead process improvements
- Able to work overtime as needed to meet payroll processing deadlines
Qualifications – License(s) & Language(s)
- Proficient in reading/writing English, Spanish speaking a plus
- CPP/FPC designation highly desired
