The role of the North America Patent Administrative Specialist includes a variety of duties, including:

  • Preparing response templates for responses to Office Actions before the United States Patent and Trademark Office (USPTO) and assisting with foreign patent Office Action responses
  • Preparing U.S. patent applications and documents associated with patent applications (e.g., inventor declarations, assignments, transmittals, powers of attorney, and application data sheets)
  • Working with clients and international filers to prepare and secure necessary paperwork
  • Preparing and providing 3 to 6-month docket reports to supported attorneys on a weekly basis
  • Uploading necessary documents to various systems
  • Filing expense reports, assisting with vendor/invoice management, and/or assisting with budget management for supported attorneys as needed
  • Timely filing all required documents with USPTO and investigating issues as needed
  • Miscellaneous projects and administrative tasks (e.g., scheduling meetings) for supported attorneys as needed.

The role requires flexibility, superior communication skills, attention to detail, and organization skills. At any one time, the NA Patent Administrative Specialist may have dozens of varied tasks in a number of cases with different attorneys and different inventors that need to be done. The ability to prioritize and keep track of completed tasks as well as tasks that need to be completed is essential.

Qualifications

Education:

  • Have a minimum of a high school diploma, GED or equivalent education, however, a two or four-year college degree or equivalent administrative experience is required

SKILLS/EXPERIENCE:

  • Proficiency in learning new systems for filing of necessary documents, document management, expense reporting, etc.
  • Ability to balance and organize multiple competing priorities and accurately manage significant amounts of data and deadlines on a regular basis
  • Strong working knowledge of Microsoft Office, SharePoint, and Teams
  • Prior experience with the USPTO and/or patents and/or a legal environment
  • Strong communication skills
  • Ability to collaborate with peers and managers to meet business needs
  • Ability to work independently
