In September 2020, Unilever announced the intention to build a new sustainable campus site in Kingston, London to house the employees who currently work in 100 Victoria Embankment in Blackfriars, Lever House in Kingston, Unilever House in Leatherhead and Graze in Richmond. We are creating our own Unilever sustainable, agile work environment, purposefully bringing us together in our own Unilever ecosystem. The campus is due to be completed in December 2023 and will consist of two interconnected buildings, as well as landscaped surrounding areas.

JOB PURPOSE

The role supports the IT Security Vice President but works co-operatively and flexibly with other members of the IT Global Leadership team. The IT Security Vice President has a very busy schedule and requires a PA who is a self-starter and who can interact regularly with a very international network both inside the business and externally. You must be capable of managing your own time effectively, working independently using your initiative and keep the IT Security Vice President updated on issues arising in their absence.

RESPONSIBILITIES

- Organisation and administration of meetings & visitors – coordinating attendees, timings, equipment and rooms.
- Diary management – assessing competing priorities and anticipating requirements
- Screening, responding to and redirecting mail, as appropriate
- Composing/typing general correspondence/emails 
- Organising international and local travel, including preparation of itineraries, visas, etc. together with management of out of office requirements
- Co-ordinating expenses and invoice processing.
- Pro-actively tackling issues related to administrative processes to ensure speed and efficiency.
- Departmental contact for IT equipment/service requests.
- Ownership of starter/leaver admin process.

- Departmental Record Officer (DRO), ensuring files and records are organised and maintained.

This role requires a personal assistant with proven team support experience and a background of working in a corporate environment and regional/global organisation. 

- It requires discretion and confidentiality.

- The jobholder must be very well organised, able to prioritise tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels internally and externally.

- Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary, developing new approaches to meet changing needs.

- Good IT skills are required. 

- Accuracy, speed, proactivity and an ability to ‘get things done’ are vital.

Recruitment Fraud

Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money.

In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs.  These types of attacks are becoming more common as more people are looking for employment in the economic climate.

How is Unilever tackling this?

Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.

What can I do?

If you become aware of potential recruitment fraud, spot fake Unilever recruitment adverts or fake LinkedIn profiles, report them to the IT Services Desk via Una Live Chat.
