Project Overview
The Pueblo Chemical Agent-Destruction Pilot Plant (PCAPP) will safely destroy 2,611 tons of mustard agent in mortar rounds and artillery projectiles stored at the U.S. Army Pueblo Chemical Depot, approximately 25 miles from Pueblo, Colorado. Neutralization followed by biotreatment is the technology selected by the Department of Defense to destroy the Pueblo chemical weapons stockpile. PCAPP began the operations and munition destruction phase as of September 2016.
Candidates for unescorted access to the Chemical Limited Area must successfully clear National Agency Check with Local Check. All employees are subject and agree to random drug and alcohol testing as a condition of employment. Must be physically fit for duty and be able to work safely at an operating plant. Eligible applicants must be a U.S. citizen and successfully go through a government screening process. Based on project goals and objectives, candidates established within the local community are desirable.
PLEASE NOTE: This is a long-term assignment that will require the employee to work on DuPont’s Shift Schedule (working up to 12 hours at a time, rotating day and night shifts, on both weekdays and weekends). This shift schedule consists of a 4-week cycle to be worked as follows:
Work 4 consecutive night shifts, followed by 3 days off duty, then
Work 3 consecutive day shifts, followed by 1 day off duty, then
Work 3 consecutive night shifts, followed by 3 days off duty, then
Work 4 consecutive day shifts, followed by 7 days off duty.
After having 7 consecutive days off, the shift schedule starts again with working 4 consecutive night shifts, etc.
Position Summary
The Pueblo Chemical Agent-Destruction Pilot Plant (PCAPP) is looking for an Operations Shift Administrative Assistant at the Pueblo, CO location. This position will report to the O&AS Operations Shift Administrative Lead at the PCAPP project. The position provides clerical and administrative support to the Operations Organization for the Pueblo Chemical-Agent Destruction Pilot Plant (PCAPP) Project. The individual will exercise a high degree of individual initiative, discretion, diplomacy, accuracy and judgment; independently anticipate problems and changing priorities; alerts departmental managers and may take action to adapt manager's schedule and commitments accordingly; function well in fast paced environment and deals with administrative pressure in a professional and positive manner. The individual will adhere to company and department policies and objectives.
This PCAPP position falls under the scope of the McNamara-O’Hara Service Contract Act of 1965 (SCA). The SCA requires PCAPP to provide employees with benefits and wages no less than the amounts the Department of Labor has established for the location and classification in which the employee will be working.
Responsibilities
Maintain controlled hard copy files of project documents for Operations
Process, review, log, copy, distribute and file various Operations documentation
Perform data entry and query functions as needed using InfoWorks (Bechtel’s enterprise content management system) and other databases as required, interfacing with Document Control
Prepare and process documentation for scanning and archiving
Extract reports and perform a variety of queries using other standard office automation and InfoWorks
Prepare and distribute notices, agendas, information packets, and minutes
Provide word processing support, as needed, including correspondence, meeting minutes, proposals, presentations and reports
Interface with document control personnel to ensure necessary project records are captured. May set up and maintain project files
Make recommendations for work process improvements, procedures and practices
Provide support for special assignments, as requested
Work overtime on an as-needed basis
Compose routine correspondence as needed
Complete business independently, as appropriate
Generate and organize material for meetings or presentations
Coordinate and ensure smooth flow of information
Perform other duties as assigned by Office and Administrative Services Manager or Operations Management
Perform varied clerical and secretarial duties requiring knowledge of programs and procedures related to site administrative activities
Ability to lift items weighing up to 50lbs
Qualifications and Skills
Basic Qualifications
Level 1:
Bachelor’s degree and one year of administrative, clerical, or document management experience, or an associate degree and 3 years of similar experience. In lieu of a degree, a high school diploma, or equivalent, and 5 years of related experience.
Must be a U.S. citizen or lawful permanent resident.
Must be able to obtain and maintain unescorted access to the Depot
Must be able to demonstrate intermediate skills using Microsoft Excel, Word, Outlook, and PowerPoint. A skills assessment will be administered to test proficiency.
Must be able to demonstrate intermediate written and verbal communication skills—including office grammar and spelling. A skills assessment will be administered to test proficiency.
Minimum Qualifications
Knowledge of administrative processes and procedures.
Ability to setup meetings, prepare materials, and produce meeting minutes.
Skilled at maintaining multiple Outlook calendars and scheduling meetings.
Ability to handle matters of a sensitive and confidential nature.
Ability to review deliverables and monitor quality to ensure all products conform to established standards.
Ability to interface with document control personnel effectively to ensure necessary project records are captured.
Must be proactive, use individual initiative, follow assignments through to completion, and be attentive to detail, quality of work products, and deadlines.
Ability to perform multiple tasks and adapt to changing priorities.
Ability to remain current with department technologies, techniques, and services relevant to area of responsibility, and to make recommendations for work process improvements, procedures, and practices.
