About the Role

We are looking for an Office Manager to support the Berlin Office Director responsible for supporting Lockheed Martin’s business in Germany. The successful candidate must be able to multi-task, prioritize work requirements and deliver results in an organized and methodical manner. The individual will be working in a dynamic work environment and will be expected to participate actively as a member of the core office team, and also work independently during periods of executive travel. This role forms part of a small and friendly LM team based at our office in Berlin.

The Berlin Office Manager is responsible for supporting a senior level executive staff member with administrative responsibilities as well as functioning as the office manager to ensure that the small but busy Berlin office runs smoothly and efficiently.  The successful candidate will report to the Berlin Director, but must be able to work independently to accomplish the administrative and office management tasks, which include but are not limited to:

Staffing the reception desk and acting as first point of contact for all visitors on the phone and in person;

Managing office information flow; recording and submitting invoices and invitations; tracking executive tasks;

Managing the executive calendar, appointment tracking, scheduling executive travel and accommodation;

Acting as the Security point of contact for the Berlin office;

Drafting minutes and translating documents between German and English;

Managing the Director’s office budget;

Filing expense reports for Berlin Office Manager;

Supporting planning for high level customer engagements and conferences, including liaison with organisers on logistics and on the ground event support;

Organizing on-boarding of new employees;

Coordinating with Lockheed Martin's International Corporate and Enterprise Business Services functions supporting the European region including management of local office contracts.

The post-holder will be responsible for ensuring the smooth communication and information flow by managing the office switchboard, tracking time sensitive office requirements and coordinating IT support. Given the high-profile nature of LM in Berlin, this employee will routinely need to engage with host nation political, military and industry senior executives and leaders in the course of their duties, therefore discretion, courtesy and the ability to present themselves in a professional manner with stakeholders of all levels is essential.

Required skills, qualifications and experience

Fluency in both written and verbal German and English;

Attention to detail and a methodical approach to tracking tasks;

Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint) and SharePoint/BOX

Self-starter with excellent time management; comfortable with limited direction and able to work independently;

Flexible approach to meeting tasks including work hour adjustments when necessary;

Ability to manage multiple tasks and exercise sound judgment in prioritising;

Discretion, courtesy and diplomacy in dealing with colleagues and stakeholders at all levels of seniority.

Quick learner with ability to pick up new tasks quickly.
