Cox Enterprises is hiring a Lease Administrator, who will be responsible for supporting Corporate Real Estate and Facilities operation teams for Cox Enterprises and its subsidiaries. This position will be responsible for managing lease payments, receipts, vendor relationship, reporting and data for a specified portfolio. The role will interact and support the Corporate Real Estate Transaction Team as well as other identified stakeholders.
Portfolio administration support and coordination for clients and real estate transaction team members.
Daily management and maintenance of lease administration software for 1,000 leased and owned portfolio.
Track, maintain and update critical dates with the expectation to keep the transaction team focused and accountable to deadlines.
Organizing documents in electronic and physical files as well as distribution to the appropriate contacts in the field, accounting etc.
Provide monthly reporting from the database or other sources.
Review and coordination of estoppel certificates, SNDAs, notices and other Landlord correspondence.
Support clients in lease questions by reviewing and interpreting numerous types of critical lease terms and clauses.
Quality control check all lease abstracts for accuracy
Review and confirm accuracy of recurring rent schedules on a monthly basis
Receive and review all non-recurring additional rent charges for accuracy and the send for payment
Receive and review OPEX reconciliations for accuracy and then engage with landlord to help resolve any disputes
Co-ordinate income Lease invoicing and tracking payment
Track and seek reimbursement for TI allowances
Research public records for owned portfolio information.
Participate in portfolio audit research and collection of missing property information.
Qualifications:
Skills Required
Minimum of 3 years experience in Lease Administration.
Advanced understanding of commercial leases and lease language.
Significant experience with reconciling Rent, CAM, Operating Expense, CPI, Tax and Insurance payments to Landlords, including reviewing leases to insure accuracy of all charges.
Strong knowledge of Microsoft Office including proficiency in Excel and PowerPoint.
Strong knowledge of CoStar Real Estate Manager
Personal Characteristics
Independent, self-starter, team player, analytical and attention to detail.
Provides high degree of professional customer service to both internal and external parties.
Excellent communications and organization, follow-through and follow-up, meet commitments and deadlines.
Education Required
Bachelor’s Degree in accounting, finance, real estate or equivalent
