In-person learning responsibilities:
- Provide overall F&B support for the LEAD in-person workshops, ensuring participants’ food allergies and dietary requirements are accommodated, food is ordered to budget, menus are varied, vendors deliver on time and snacks are provided
- Negotiate hotel rooms within the Brunswick Travel & Entertainment Policy’s provisions for LEAD participants, ensuring they know how to book and volume discounts are maximized
- Work closely with external vendors to ensure all room, food and transport arrangements are made, confirmed, communicated and rolled-out smoothly for LEAD learning events
- Maintain the basket of administrative supplies for the LEAD program, ensuring specific provisions are made for each workshop
- Pro-actively produce, print and laminate name badges, handouts and participant guides for each LEAD workshop
- Check attendance lists and chase up anyone who is late, lost or who needs help with transport
- Organize, manage and report out on post-event participant surveys and feedback
- Provide F&B, accommodation and administrative support to other in-person learning events
- Administer personality assessments for development and talent acquisition
Virtual learning responsibilities:
- Support all virtual learning events in the ‘Producer’ role
- Check, monitor and report on attendance during the virtual learning events
- Monitor and report on Chat comments and questions
- Run, manage and report on Polls during the virtual learning experience
- Arrange and manage break-outs during virtual learning experiences
- Respond to participants’ questions and help solve problems during the virtual learning event
- Provide follow-up information and post the call recording into Teams
- Organize, manage and report out on post-event participant surveys and feedback
University Recruiting Responsibilities:
- Create / update job descriptions based on best practices and post to various job boards, removing after selection process is finalized.
- Manage the scheduling component for specific university recruitment activities including, but not limited to:
- Career fair registrations
- Networking/social activities on/off campus leading up to final round interviews
- Leadership Chats
- Video presentations leading up to final selection process
- Video/in person interviews (two rounds)
- Tracking participation
- Prepare and supply interview materials to candidates and interviewers
- Act as liaison between Brunswick and specific campus career centers on upcoming deadlines, communications and to provide marketing materials to highlight our programs, etc.
- Develop and maintain student questionnaires/surveys
- Field general candidate questions throughout the recruitment process
- Create interview care packages, working with outside vendor to order supplies and make those decisions together with me
- Coordinate travel and event planning, including researching and booking vendors, purchasing travel and hotel accommodations, and preparing supporting materials.
- Track all expenses in appropriate budget.
- Assist with onboarding tasks ensuring positive experience for new hires.
- Create and update onboarding materials including new hire bios
- Assisting with marketing materials, research, reporting, and building contacts for the future season for all student programs
- Create additional materials for internal use, such as Hiring Manager surveys, New HM guides, written procedures, etc.
- Assist with career tracking
- Assist with vetting new platforms and systems for career fairs, candidate tracking, etc.
- Other learning admin/support responsibilities as reasonably required
Skills and experience:
- Bachelor’s degree in HR, Marketing or related business field required
- 1-2 years’ experience in the recruiting industry
- Familiarity with campus recruitment strongly desired
- Excellent planning, time management and organizing skills
- Demonstrable ability to manage F&B, transport and accommodation within a prescribed budget
- Discreet, confident, efficient and collaborative style maintained at all times
- Genuine interest in learning, helping people and organizing events
- Pro-active, continuous-improvement approach to all tasks
- Strong e-learning skills, particularly in Microsoft Teams and Forms
- Strong overall Microsoft Office (Word, Excel and PowerPoint) skills Experience scheduling events, virtually and in-person
- Vendor management experience preferred
- Strong attention to detail and ability to shift priorities quickly
- Independent thinker with the ability to think creatively about process and best practices
- Comfortable suggesting new approaches to key stakeholders
- Ability to engage and connect with students as well as senior leadership
