Job Description and Qualifications
Position Title:   IT Contractor - Admin    Reports To:    Manager, Asia Infrastructure Operations
Department:   Asia Infrastructure Operations   Location:   Shanghai Zhangjiang
POSITION SUMMARY
This Admin position will be responsible for providing administrative support to the Managers of Asia Digital Technology and the whole Asia Digital Technology teams including Digital Infrastructure Services, Digital Enterprise Systems and Data & Platform teams, numbering over 50 people.

This position will be a key figure in the team expected to improve the effectiveness of a busy team by proactively coordinating/prioritizing administrative, safety, travel, training and other activities including but not limited to team building and large business events. ÂÂ
PRINCIPAL ACCOUNTABILITIES
•    Safety – Organize safety housekeeping and inspections. Work with facility team to resolve safety and facility related issues and risks. Organize and facilitate departmental safety meetings and keep records of participation and topics covered. Manage department BSP (Basic Safety Process) records and activities. Generate compliance reports and follow up.
•   Staffing/Event Coordination – Coordinate logistical requirements for onboarding new employees, employee transfers and separations. Participate and coordinate in company activities as an IT representative including annual dinner, employee committee activities, employee sports event, HR general communication etc.
•   Travel Management – Manage complex travel arrangements and detailed logistics including passports and visa applications, air tickets, hotel booking, transportation logistics etc. for international and domestic travels for not only local IT teams but also international travelers.ÂÂ
•    Calendar & Meeting Management – Manage calendars and appointments for the managers in Asia IT team. Schedule, coordinate, and manage large and complex internal or external meetings including face-to-face and virtual meetings. Support meeting logistics preparation and setup. Proficient with operating audio and video conferencing devices.ÂÂ
•   General Administration Support – Provide administrative support including scheduling meetings, supply ordering/tracking, processing Purchase Requisition, invoices/payment, copying, filing, company chop application etc.ÂÂ

MINIMUM REQUIREMENTS AND QUALIFICATIONSÂÂ
•   Bachelor or Diploma Degree in Administration is preferred but not essential
•   Strong organizational and interpersonal skills (both written and verbal in English), detail oriented, time sensitive, customer focused, and a strong team player. ÂÂ
•   Must be able to work independently and be capable to perform multiple tasks in high volume situations under time constraints ÂÂ
•   Must have excellent computer skills. Proficient in computer applications including but not limited to Microsoft Outlook, Word, Excel, PowerPoint etc.ÂÂ
•   Must have the initiative to lead problem solving and prevention
•   An understanding of Corporate Policies and Procedures is an advantage
