The successful i-Jet administrative assistant:
Manages the purchasing process accurately and quickly via purchase order and purchase card using Oracle
Supports office events for team bonding activities
Keeps the office area tidy through influence and execution
Supports R&D staff as requested
Manage the agendas and meeting content for cross-enterprise meetings involving i-Jet lab
Represent i-Jet Lab Director and provide leadership presence for the lab in Director's absence.
 
Key responsibilities
Create Purchase orders via Oracle purchasing system
Process invoices against purchase orders in oracle system
Coordinate meetings and special events
Assist the R&D staff with expense reporting
Partner with the HR team to coordinate recruitment initiatives
Greet guests as they arise and direct visitors to the appropriate contact
Perform other administrative & receptionist tasks as they arise
 
Required Experience/Skills
Some secondary education in Business Management, Human Resources, Psychology, or related field preferred but not required
Experience working with budgets and/or purchasing systems preferred
Desire to support interns and full time employees to perform at their best
Proficiency in Microsoft Office Suite
Excellent written and verbal communication and interpersonal skills necessary to work with in person and remote employees at all levels as well as guests and visitors
Ability to adapt and drive improvements to processes to ensure accurate budget management
Self-initiative to manage time and prioritize tasks
Detail oriented with ability to balance flexibility with standard procedures
This position will be based out of the Brunswick i-Jet Lab in Research Park on the UIUC (University of Illinois – Urbana/Champaign) campus
