Job Responsibilities

  • Plan, coordinate, monitor and report on activities and required resources to ensure cost efficient and quality service delivery from administrative support functions. Ensure strong management of a government relations through a tracker for timely and quality completion of key activities.
  • Lead preparation of Government reporting requirements to ensure compliance with relevant Ministry, NGO Affairs Bureau (NGOAB), Deputy Commissioner (DC), Upazila Nirbahi Officer (UNO) and local administrations, including all Foreign Donor (FD) forms required throughout the project registration cycle.
  • Ensure administrative systems, processes, and policies are in line with agency standards and local law regulations, including required approvals from National Security Intelligence (NSI), Special Branch of Police (SB), NGOAB, Department of Immigration and Passports (DIP) and other relevant embassies necessary to process security clearance, work permit and visa for staff as well as visas for visitors.
  • Coordinate government administration and logistics functions in addition to the administration function to ensure support services are delivered with high-quality in an efficient manner. Help address challenges that affect the proper stewardship and optimal utilization of program assets and resources. Recommend changes in office practices and coordinate revision of systems, policies, and procedures to contribute to operational excellence.
  • Effectively manage administrative talent and supervise. Manage team dynamics and staff well-being. Provide coaching, tailor individual development plans, and complete performance management for direct reports. Monitor and assess performance to ensure capacity for successful support of high- quality programming.
  • Serve as the key liaison and maintain relationships with relevant government and NGO stakeholders to ensure required authorizations and documents are up-to-date and in compliance (Relevant Ministries, NSI, SB, NGOAB, DIP, Airport Immigration, DC, UNO and other relevant stakeholders).
  • Support Administrative Officer to manage the provision of travel and logistics support and services to staff and visitors, including Vehicle Management System (VMS); to manage timely payments; and, to manage event planning activities, including delegation visits, trainings and workshops.

Educational Requirements

  • Bachelor's Degree is required. Bachelor's Degree in Business Administration or other relevant field is preferred. Master's Degree would be a plus.

Additional Requirements

  • Minimum of 3 years of experience working in government relations is required. Minimum of 5 years work experience in administrative support functions is preferred.
  • Experience with an NGO/INGO is preferred.
  • Required Languages - Fluency of written Bangla, including typing in Bijoy. Professional fluency in written and spoken English.
  • Travel - Must be willing and able to travel up to 25% to project field sites.
  • Knowledge, Skills and Abilities:
  • Ability to work independently with very good planning, organizational and time management skills
  • Ability to make sound judgment and good decisions
  • Strong customer service orientation with very good communication and interpersonal skills, necessary to represent CRS
  • Ethical conduct and ability to maintain confidentiality
  • Proactive, resourceful, solutions-oriented and results-oriented
  • Ability to coordinate with colleagues while working under pressure
  • Preferred Qualifications:
  • Excellent knowledge of hierarchy within government offices.
  • Demonstrated experience with NGOAB throughout the project cycle.
  • Staff management experience and abilities that are conducive to a learning environment.
  • Proficient in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.
