Executive Assistant - President, North America

The primary objective of this role is to provide administrative, organizational and logistics support for the Beam Suntory President North America. The position requires a person who can work with a sense of urgency while preparing and managing sensitive and confidential information with maximum discretion and diplomacy. The position also requires a person with considerable initiative, independent judgment, a capability to manage multiple priorities, strong attention to detail, adaptability to changes, and high emotional intelligence.

Role Responsibilities

• Adeptly handle schedules, including meetings and conference calls coordination; coordinate and accurately maintain calendars, updating continually to ensure that all meetings, calls and commitments are current. Ensure all pre-meeting briefing documents are delivered in a timely fashion ahead of meetings to enable sufficient time for review and decision making.

• Manage all aspects of global and domestic travel arrangements for the President North America, coordinating closely with the travel department/Concur, as needed and preparing related expense reports. Adeptly coordinate all respective agendas for market visits and other outside meetings and develop full briefings in advance with all needed information.

• Ensure the executive has all aspects covered for quarterly ELT, Board meetings and other critical executive-level meetings to ensure seamless ability to lead.

• Assist in communications for the President North America, including preparing necessary correspondence with business stakeholders and preparing presentation materials where required.

• Understand the President North America's priorities/needs and prioritize calendar appointments/conflicts accordingly.

• Ensure diligent follow ups to priorities list and provides updates as necessary.

• Work in strong partnership with the broader EA community.

• Perform related duties as assigned which include, but is not limited to, timely and accurate expense reporting processing; budget preparation; preparing purchase requisitions; ordering products and services; maintaining department files; and ordering department office supplies.

• Identify opportunities to drive efficiency and productivity in overall ways of working.

• Support President North America's personal agenda as required.KEY COMPETENCIES:

• High school graduate required (Bachelor's degree or business school courses preferred)

• Minimum of 15 years of previous executive administrative assistant experience required

• Thorough knowledge of executive administrative procedures; strong verbal and written communications skills; excellent grammar, and other business English and written/composition skills

• Top-notch computer experience including Microsoft Office Suite and Outlook

• Must be present and have ability to be accessible and work at times after hours as well as on weekends

• Must be flexible when plans change and needs to adapt to those changes
