Job Description

Under the guidance and supervision of the Administrative Associate, the Administrative Clerk provides support to administrative services ensuring high quality of work, ensures accurate, timely and properly recorded/documented service delivery. The Administrative Clerk promotes a client, quality and results-oriented approach.

The Administrative Clerk works in close collaboration with the Operations, Programme and projects staff in the CO and other UN agencies staff to ensure consistent service delivery

Maintain updated assets records and updates in Atlas Control of CO Assets & Inventory Manage office supplies and consumables and store management, Assist with provision of logistical services Support to knowledge building and knowledge sharing Assist with the preparation of requisitions and e-requisitions and receipts for items being procured against office budget and common services Atlas related task as required. Request for fuel and water supplies to all common premises and services   Duties and Responsibilities   3.1 . Ensures implementation of operational strategies, focusing on achievement of the following results: Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies Provision of inputs to preparation of administrative team results oriented work plans. 3.2  Provides administrative and logistical support related to grounds maintenance , water and fuel supplies within UN/UNDP rules, regulations, policies and strategies: Full compliance of logistical processes including common promises issues Assist with the [provision of information for preparation of costMrecovery bill in Atlas for logistical services provided by UNDP to other agencies. Contributes to implementation of sourcing strategy focusing on achievement of the following result Update of the rosters of suppliers for provision of services and utilities related to electricity, water and sanitary etc. Maintenance and repairs of office equipment, issues supplies against-request, monitor stock levels for timely replenishment. Prepare and certify bills for payment at CO. Maintenance of files in Administrative Unit 3.3 Provides support to office maintenance and assets management, focusing on achievement of the following results: Collection of Information on assets management, maintenance of records and files on assets management. Maintenance of files and records relevant to office maintenance. 3.4 Provides support to knowledge building and knowledge sharing in the CO, focusing on achievement of the following results; Participation in the training for the operations/projects staff on administration. Contributions to knowledge networks and communities of practice..  Institutional Arrangement Under the direct supervision of the Operation Sepcialist,the incumbent is responsible for Adminstrative Support of proper delivery of related services in One UN House Liberia PAP Competencies   Achieve Results: LEVEL 1: Plans and monitors own work, pays attention to details, delivers quality work by deadline;  Think Innovatively: LEVEL 1: Open to creative ideas/known risks, is pragmatic problem solver, makes improvements;  Learn Continuously: LEVEL 1: Open minded and curious, shares knowledge, learns from mistakes, asks for feedback;  Adapt with Agility: LEVEL 1: Adapts to change, constructively handles ambiguity/uncertainty, is flexible;  Act with Determination: LEVEL 1: Shows drive and motivation, able to deliver calmly in face of adversity, confident;  Engage and Partner: LEVEL 1: Demonstrates compassion/understanding towards others, forms positive relationships;  Enable Diversity and Inclusion: LEVEL 1: Appreciate/respect differences, aware of unconscious bias, confront discrimination.   Required Skills and Experience Excellent written and oral communication skills. Demonstrated ability to work effectively as part of a collaborative team and process. Experience in the usage of computers, office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages, experience in handling of web based management systems; Ability to support budgetary aspects of the work planning process; Work experience with the United Nations system or international organizations is an advantage; Experience working in a dynamic environment is an asset.  Education: Secondary Education OR University Degree in Business or Public Administration would be desirable   Experience:
