Job Description

Purpose of the role:

To supervise the operation of the public enquiry offices at the North Kent Police Station and the two town centre enquiry offices at Dartford and Gravesend. To ensure the facilities are operated in accordance with the service delivery plans agreed with Kent Police.

This is a key role in support of police operations requiring liaison with all members of Kent Police Authority working at the North Kent Police Headquarters. The public enquiry office is the interface between the public and Kent Police, often being the first point of contact, requiring exacting standards in presentation and service delivery.

Job Description:

What you’ll be doing:

  • To supervise the public enquiry officers in the day to day service delivery duties.
  • To ensure Kent Police procedures are followed in respect of public enquiry office duties and staff are made aware of such procedures.
  • To ensure staff are conversant with the opening and closing of the office facilities and any site specific procedures in respect of the use of keys, card access, equipment and documents to be looked away when the facilities are not in use.
  • To liaise with the nominated training liaison officer to ensure staff training is maintained, being undertaken in a timely and efficient manner, with the release of staff by the scheduling of duties.
  • To prepare staff duty rotas having due regard to the opening hours at each public enquiry counter facility and Tascor’s obligations under the working time directive.
  • To manage staff attendance and review staff rotas to ensure coverage of the contracted opening hours is maintained.  To manage the staff rota system to take account of absences, planned or unplanned, to ensure service delivery times are met and staff are assigned to duties, and report as required.
  • To check timesheets for accuracy and completeness and complete spread sheet to be set to the Facilities Co-ordinator for processing to payroll.
  • To manage sickness absence in accordance with the Tascor/Capita Human Resources and Payroll procedures.
  • To be conversant with the Kent Police IT systems, procedures and working practices and act as the focal point for matters affecting Tascor service delivery.
  • To assist the Tascor Facilities Manager in the investigation of complaints made against any Tascor Public Enquiry Officers.
  • To provide the Tascor Facilities Manager with feedback on the operation of the front counter facilities to enable this to be documented in the Facilities Manager’s monthly report to the client.
  • To investigate and report on complaints regarding any lapses of service at the front counter facilities.
  • To carry out the role of the Public Enquiry Officer when not engaged in these supervising duties.
  • To be available on call to deal with any out of hours staff issues.
