The Finance Department is looking for:

An Executive Assistant and Risk Committee - M/F

 

You assist the Chief Financial Officer and the Risk Manager and have the following missions: 

Traditional assistant to the Chief Financial Officer

  • Organizing the diary and receiving appointments
  • Prepare and organize the logistics of the various professional events (meetings, travel, oral interventions, seminars, trade shows, conference calls, etc.).
  • Manage expense reports
  • Organize the sorting and archiving of important documents and Receive and sort mail

Assisting the Risk Manager within the framework of the Risk Committees

  • Organize and track the various committees (consideration, commitments, acquisitions, etc.)
  • Ensure the operating logistics of the committees (reservation of rooms, Visio organization)
  • Collect and distribute the documents relating to the committee in the sharepoint or the Teams  ( committee reporting, project document, legal notes and risk analysis, report) in relation with the corresponding committee and the operational staff
  • Contribute to the development of the Management's communication media, administer and update the information contained in the sharing tools.
  • Animate the sharepoint and ensure the updating of access (creation of project files, recording of documents, etc.)
  • Participate in committees and draft the corresponding statements for distribution of the closing memo (or REX) after the final decision
  • Be a force of proposal on the analysis of KPIs 
  • Ensure punctually for Equans Monde the planning of the committees in connection with the stakeholders (division directors, committee correspondents, executive assistants)

 PROFILE 

You have at least 10 years in similar management assistant functions ideally acquired within sales departments. You were able to acquire solid knowledge in project management/risk management within the framework of tendering processes (public/private).

Your strengths: your sense of organization and priorities. Your flexibility and your sense of confidentiality. You have developed a real sense of service and  are comfortable interacting and speaking in public, whatever the audience (collaborators, COMEX members, Managers, internal, external.)
