Job Description

Position Summary The Executive Sales Administrator is a support professional who serves as a valuable liaison coordinating between departments to assist in sales. This position is responsible for directly supporting senior-level, national sales and operations executives; performing a wide-range of administrative tasks and coordinating sales-related details before, during and after the sale to ensure that sales are efficiently executed.

  • Position Responsibilities Collects and properly maintains contracts and customer paperwork, and ensures all vendor agreements are properly signed and filed using a method in accordance with company policy.
  • Drafts various pieces of correspondence related to the sales activity of the company. This may include sales letters, new business inquiries and intercompany memorandums.
  • Manage internal and external mail and email received so that critical information is sent to all parties (including the field sales and operations personnel).
  • Performs basic administrative duties like preparing submittals, data entry, reporting and client presentations.
  • Routes opportunities to the appropriate representative.
  • Ensures internal deadlines are met, managed and processed in a timely manner.
  • Listens and takes notes during sales calls, meetings, etc. to help facilitate the bid process.
  • Proofreading, printing, binding and shipping of sales proposals to clients
  • Coordinating marketing project support to be assigned as needed, but to include brand transition coordination, advertising, meeting planning, case studies, references, and resumes maintenance.
  • Interacts with sales representatives, management, branch personnel, vendors and suppliers.
  • Facilitates internal communications and processes with various departments within the company.
  • Act as a second point of contact for clients and prospective clients on deals in order to understand, receive and disseminate information received during a bidding process and after award so that communications, paperwork, and new pricing requests along with other items are processed accurately.
  • Facilitates all new sales or transactions made by the customer. Answers any questions the customer may have regarding services offered by the company.
  • Enters sales leads into the system and manages the status of new and existing business customers.
  • Responsible for gathering, analyzing and recording sales data in salesforce.com to increase sales productivity. Also updates information, assigns tasks, and manages calendars.
  • Creates mailing lists for special customer promotions utilizing salesforce.com.
  • Conducts competitor, customer analysis and market research based on specific territories, industries, or sales opportunities. Responsible for keeping this data updated and disseminating the information as requested.

Minimum Requirements

  • Bachelor's degree preferred.
  • Minimum of 1-3 years of sales or sales team support experience.
  • Must have exceptional ability to coordinate multiple projects/tasks
  • Proven track record and demonstrated ability to consistently meet deadlines
  • Must be highly organized and be able to professionally interact with all levels of leadership within the organization
  • Must be resourceful with a sense of urgency
  • Attention to detail and ensure quality output
  • As a liaison between the company and its clients, professional and diplomatic communication skills are necessary.
  • Must work well under pressure and be able to meet deadlines
  • Customer service skills are highly desired since this role helps resolve customer issues and responds to client requests
  • Excellent organizational, leadership and interpersonal skills
  • Ability to prioritize and work with senior leadership and executives
  • Positive attitude and works well with others
  • Willingness to work long hours and do whatever-it-takes to get the job done
  • B2B experience in service industry a plus!
  • Motivated and possess excellent customer service abilities
  • Strong grammar and note-taking skills
  • Experience with sales software: Salesforce, Sales Navigator, Zoom Info a plus
  • Strong MS Office skills (Excel, Powerpoint and Acrobat Professional) Client Relationship Management experience is highly preferable (i.e. Salesforce.com)
