Cox Enterprises is looking for an Executive Assistant that will provide administrative leadership and support to the Strategy team at CEI. The individual in this role will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing the leaders’ daily schedule, and handling tasks on behalf of the leaders as needed.
The Executive Assistant must demonstrate a high level of integrity, professionalism, and confidentiality, handling sensitive information with tact, discretion, and judgment. A high degree of responsiveness and independent judgment is required to plan, prioritize, and organize in a fast-paced, rapidly changing environment.
The Executive Assistant is the key to keeping the leaders focused on the business priorities by taking care of administrative details and tasks.
SPECIFIC RESPONSIBILITIES:
Provide calendar and time management: schedule resources such as people, meetings, conference rooms, equipment, and technology support
Organize and manage meetings and on/offsite events including securing, managing, and preparing meeting space, travel, catering, transportation, and set-up
Arrange domestic & international travel and all accommodations including comprehensive and detailed itineraries for internal team members and external clients as needed
Coordinate onboarding support to new employees; ensure they have the needed resources to get started as a new employee of Cox Enterprises
Perform administrative functions such as ordering supplies, coordinating equipment repairs and preparing expense reports
Prepares expense reports, memoranda, reports, spreadsheets, and presentations, which may require the gathering of data from internal and/or external sources
Ensure all documents, letters, briefings, and other materials are in final format, including but not limited to grammar, content, substance, and accuracy
Maintains incoming/outgoing mail and packages
Attends staff meetings, record the minutes and creates a summary of the meeting, highlighting the significant issues, distributing meeting minutes and documents, as assigned
Maintains department organizational charts
Serve as a liaison between the executives’ teams and other business units/departments
Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries
Maintain and develop systems that organize and structure the work of the leader. Organize and maintain files/records on all matters, as appropriate
Integrate into and work with other assistants in support of executive team. Serve as a backup for other assistants, as necessary
Assist with dissemination of internal communications as needed
Coordinate special projects as assigned
Perform other duties as assigned
Qualifications:

Preferred 5+ years’ executive-level administrative or comparable supporting leaders with global responsibility
Must be highly proficient in Microsoft Outlook, Word, Excel and PowerPoint and other online platforms including Teams and Zoom
Proficiency with digital devices and files and an aptitude to quickly learn new technologies a plus
Experience with planning meeting and event logistics for internal team members and external clients, prefer experience with virtual/remote meeting in addition to live meetings
Excellent written and verbal communication skills; strong listening skills
Critical thinker with strong eye for accuracy
Ability to anticipate problems and create mitigation plans
Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive
Demonstrated experience maintaining confidentiality and discretion given the nature of the work
Demonstrated success working in a high work volume, fast-paced and complex matrix environment
Demonstrated ability and experience in building relationships, working collaboratively in a team environment; ability to build coalitions and alliances across the enterprise
Demonstrated ability to prioritize, meet deadlines, work independently, and manage multiple tasks simultaneously
Strong planning, organization, meeting planning and project management skills
Exceptional organizational skills required; must be detail-oriented; have ability to prioritize and work independently
Professional demeanor and telephone manner essential
Team-based interpersonal skills
Positive and constructive approach
EDUCATION REQUIREMENTS:
BS/BA degree in related discipline strongly desired (i.e. Business, etc.)
