This Executive Assistant role is an administrative support position covering phones, scheduling, expenses and other admin duties for the SVP, Media Strategy, Analytics & Marketing Planning & VP, Media Planning & Strategy.

Responsibilities:

  • Manage calendar for executives, including scheduling and confirming meetings both internally and externally
  • Manage phones, roll calls, and update phone sheet
  • Coordinate domestic and international travel and logistics as required
  • Prepare and submit expense reports
  • Attend some staff and marketing/publicity meetings, document agenda items, and take notes
  • Assist with general office tasks, including ordering and maintaining office supplies and food stocks for department
  • Develop and maintain a thorough familiarity with all projects occurring within the department
  • Liaise with executives, coordinators, and other assistants, both internally and externally
  • Support departmental projects as needed, including, but not limited to, maintaining organizational documents and databases, and preparing presentations for company leadership
  • Represent the department in a professional manner

Basic Qualifications:

  • Bachelor’s degree or equivalent work experience
  • Ability to work independently and proactively to solve problems
  • Strong people skills, including the ability to work effectively and collaboratively as part of a team
  • Ability to take initiative and work with limited direction
  • Positive attitude and the ability to be proactive, resourceful, and flexible
  • Detail-oriented with superior organizational skills
  • Excellent communication skills, both written and verbal
  • Enthusiasm for film and television, particularly specialty/arthouse films
  • Strong computer literacy and proficiency with Microsoft Office and Keynote
  • Demonstrated ability to prioritize, multitask, meet deadlines, and change course of action quickly
  • Ability to work with confidential information
  • Experience at a Studio, Production Company, Literary or Talent Agency preferred
