Job Description
Responsibilities will include:
- Delivering an efficient and high-quality full service executive assistant support, plus administrative and personal assistance to the Chairman, HSBC UK Bank PLC;
- Ensuring the office of the Chairman runs efficiently and smoothly by working independently across a wide range of duties;
- Supporting all administrative and clerical activities, including, but not exclusively: calendar management, business trips and meetings management, travel arrangements, expense management, research, as well as coordinating and working with other Assistants across the Group;
- Serving as a gate keeper between internal / external stakeholders and the Chairman and acting as the first point of contact on behalf of the Chairman;
- Providing support and advice to the HSBC UK Board members as required;
- Developing a very good network and strong working relationship with all colleagues, NEDs and senior management, earning the trust, respect and co-operation of all;
- Focussing on delivering stakeholders’ requirements in a timely fashion and continuously seeking ways to improve service, productivity and quality of work;
- Provision of a seamless service for the Chairman’s external activities, including any new external NED positions assumed by the Chairman, by building and maintaining good relationships with counterparts in the external organisations.
Requirements
To be successful in this role you should meet the following requirements:
- Be highly organized, flexible with their time, adaptable to ever changing priorities & plan well in advance to succeed in and meet the demands / needs of this role;
- Have excellent verbal and written communication skills with good attention to detail is essential;
- Have extensive experience from supporting, communicating with and providing executive assistance to very senior executives or Chairs is essential;
- Build relationships; earning and maintaining the trust of the Chairman with a proven ability to: demonstrate absolute integrity and judgment in handling sensitive matters; and develop and maintain strong relationships at Chairman and senior leadership level and within the team;
- Demonstrate a high level of integrity and the ability to exercise discretion and maintain absolute confidentiality, given the frequent exposure to sensitive company information;
- Have excellent organisational skills with an ability to work to tight deadlines and multiple demands in a challenging and changing environment, demonstrating clear personal accountability;
- Work collaboratively to manage the complex diary / movements and responsibilities of the Chairman;
- Contribute towards a high-performance culture with a values driven mentality;
- Have or develop a detailed knowledge of the HSBC Group and a clear understanding of its culture;
- Have strong interpersonal skills, a broad understanding and appreciation of the operating environment and stakeholder landscape with an ability to accommodate personal styles to different situations; and
- Proficiency in Microsoft office applications.
The base location for this role is 8 CS, London.
