Role Summary

The Executive Assistant provides executive level administrative support to the President of the Cigna Georgia market. The position will support the marketing, sales and network contracting organization, providing enterprise level strategic direction to Cigna leaders in delivering on Cigna's mission to help the people we serve improve their health, well-being and sense of security. This position will be located in Atlanta, GA office.

Responsibilities:

  • Perform diversified and confidential administrative duties for Market President, utilizing broad and comprehensive experience, skill and knowledge of organization policies and practices.
  • Monitor principal’s inbox and suggest appropriate changes to schedule based on urgency / priority of requests
  • Screen telephone calls & visitors. Resolve routine and complex inquiries
  • Handle travel arrangements for President and assist with several direct reports, handle logistics for outside guests, and prepare and settle expense accounts. Ensure that all plans are managed seamlessly and coordinate related arrangements.
  • Create PowerPoint and Excel documents as necessary.
  • Attend business meetings as required to document highlights and takeaways
  • Prepare weekly/daily schedule packet for Market President.
  • Serve as single point of contact for document retention and storage for Leadership Team.
  • Manage an effective calendaring system for principal and look for opportunities to enhance efficiencies. Make last minute calendaring decisions based on priority and business needs using sound judgment.
  • Schedule and organize meetings including Skype/webinars/Webex and conference calls to be hosted by principal, (i.e., booking training rooms, posting materials to Sharepoint, send pre-reads to participants.) as required.
  • Meeting/onsite logistics and coordination (i.e., coordinating catering and preparing materials)
  • Support President with department management process, such as meeting coordination, distribution of materials, meeting invitations.
  • Schedule and coordinate town hall meetings.
  • Plan and coordinate on-boarding activities Leadership Team.
  • Publish and maintain department organization chart – that are not available on line
  • Maintain and coordinate department distribution lists
  • Order equipment and supplies using the portal supply system
  • Manage department vendor payment activities, track and approve invoices, assume delegate responsibilities for travel and expense entry for department head using Concur.
  • Provide back-up support to peer executive assistants supporting C-suite leaders as needed
  • Work closely with peer administrative and executive assistants in a team environment.

Ideal Candidates will offer:

  • Candidate should have a minimum of 10+ years of progressively responsible administrative and executive assistant experience.
  • Associate’s degree in a related field highly preferred.
  • Represent department using excellent verbal and written communication skills. 
  • Can work independently and maintain confidential information. 
  • Possess a strong sense of urgency and the ability to work in a very high-paced environment with the ability to manage multiple tasks.
  • Effective calendar management experience is critical- Outlook required.
  • Experience with supporting a virtual workforce.
  • Demonstrate flexibility to not only support department head, but also other team members as required.
  • Ability to work well in a team environment.
  • Ability to remain composed and focused in stressful situations utilizing customer centricity skills.
  • Demonstrate initiative to anticipate work flow needs and proactively plan accordingly.
  • Expert skills in Microsoft applications - Word, Outlook, PowerPoint and Excel with a willingness to learn advanced skills as appropriate.
  • Possess technical proficiencies with audio and voice equipment as well as mobile and desktop devices and maintains an interest in learning new technologies introduced in the workplace.

This role is located onsite which expects most work to be performed at a Cigna office location, but may allow for some work to be performed at home. Employees must be fully vaccinated if they choose to come onsite. Currently, due to the pandemic, we are encouraging all employee to remain working from home and all onsite meetings require a virtual option. However, we expect that this role will likely return to being performed primarily at an office location.
