An astute and clear-sighted administrative wonder, the Executive Assistant I provides organizational leadership and support the Market Vice President in Las Vegas. In this mission-critical role, you’ll also work closely with other executives and their teams and administrators, contributing to a well-orchestrated team and communications structure. You’ll be counted on for your excellent (and seemingly effortless) interpersonal skills, strong judgment, and confident decision making. You’re adept at keeping sensitive information confidential as well with little to no effort.

What You’ll Do
You’ll be expected to provide artful and seamless administrative support, including extensive calendar management, meeting prep, travel arrangements and records management.
Naturally, you’ll need to demonstrate a high level of integrity, professionalism and confidentiality, because you’ll be handling sensitive information. You understand that means showing a keen sense of tact, discretion and good judgment.
You’ll need to exhibit a high degree of responsiveness so that you can plan, prioritize and organize in a fast-paced, rapidly changing environment.
You probably already anticipated this one: While we’re not looking for a crystal ball gazer, critical thinking and adeptness in anticipating needs is essential.
Who You Are
You’re a calm, capable, and charismatic person who knows how to make an executive shine. You’re service-minded and know when to alert your VP to items or issues, and also have the judgment to know when that’s not needed. You’re also knowledgeable enough on important matters to feel comfortable saying, “that might be a bad idea†to your boss when you’re confident it’s the right thing to do.
Speaking of the right thing, you’re a model of integrity, able to maintain confidentiality on any and all matters. You understand keeping sensitive details private is just as important as juggling the Senior Vice President’s daily agenda or travel plans.
You’re naturally wired to be proactive, anticipate and respond to the needs of the executive. You collaborate seamlessly, and you’re capable of scheduling, planning, and clarifying the purpose of any given communication.
You’re an organizational guru, able to manage everything from travel logistics and calendar scheduling to managing records and tracking down important documents. You also show a strong aptitude for navigating apps, smart devices and generally all things digital.
On top of all these amazing qualities, you also maintain a great sense of humor, because while you know your job is serious business, you never take yourself too seriously.
Key Roles and Responsibilities
Composes letters and creates reports from drafts and proofreads and reviews documents for grammatical and numerical errors
Interacts daily with C-level executives, leadership team, and their assistants in Region and Atlanta
Manages a complex, changing calendar schedules and prioritizes meetings, appointments, rooms, equipment, catering, and other resources
Arranges travel (air, hotel, transportation) and coordinates agenda with regional staff when required
Coordinates Staff Meetings and all department meetings, secures the venue/meeting room, audiovisual needs, transportation, and catering, as appropriate and plans any off-site activities; provides administrative support on-site during meetings; to include meeting agenda, minutes, etc. This includes virtual and hybrid meetings as well!
Prepares presentations, and other documents using software packages for meetings and conferences
Takes calls directed to the Region Manager office including customer escalations; should have a good understanding of business policies and practices to direct callers to the appropriate parties, research, and coordinate resolutions, respond to questions and take messages
Maintains confidential information and secure access to sensitive personnel and company information.
Maintains, updates, or creates databases and/or database information
Catalogs, compiles, and files correspondence, records, documents and reports according to an established system
Takes and prepares notes of meetings, conferences, and similar proceedings; attends conferences to provide administrative support
Sorts and distributes mail and packages to appropriate parties
Greets and assists visitors and arranges for escorts, as necessary
Prepares, checks, and processes expense reports and invoices, including keen understanding and abilities when it comes to the company’s expense management system
Gathers and arranges materials and relevant information for assigned project or person
Prepares, organize, and maintain documents and files of a complex or confidential nature, track budget expenditures
Make purchases on behalf of your Vice President(s) with a company issued Pcard and ensure timely processing of these expenses.
Coordinate with region Executive Assistant team to cascade key business information, plan, and execute employee events and engagement activities.
Provide direction, logistic strategy, and guidance to market and region focused event teams.
Other duties, as appropriate, to support business and team.
Qualifications:
Ideally, you’ve already had some extensive experience working with C-Level executives and their counterparts and are comfortable with that kind of dynamic environment.
Here are some of the other important qualities we’re looking for:
Three+ years administrative and/or coordinator experience, with 2 + years in your rear-view mirror supporting Senior level executives their respective teams
Expertise in Sharepoint, Microsoft Teams and Microsoft Office including Outlook, Word, Excel and PowerPoint
Excellent interpersonal skills with ability to relate professionally with executive-level management
Strong written and verbal communication skills, with ability to use judgment to field inquiries professionally and efficiently
Critical thinker with strong attention to detail and accuracy
Demonstrated experience maintaining confidentiality and discretion given the nature of the work
Demonstrated responsibility and trust involving company issued P-cards and purchasing.
Strong digital skillsets and smart tools abilities
Ability to be available, as needed, to monitor urgent emails, or take calls
Strong planning, organization, meeting coordination and project management skills
Demonstrated ability to prioritize, meet deadlines, work independently, and manage multiple tasks simultaneously
