Job Description

We are currently looking to recruit an Estates and Facilities Co-ordinator to provide support across the Team for all managed sites in maintaining accurate records of site occupancy, and running costs, and databases contents drawings and records with our NHS client.

This role will provide management support for estates and facilities CAD and CAFM systems. The role will foster mutually beneficial working relationships between Capita and the Trust, co-ordinate activities between all those involved in the partnership and support managing the day to day delivery of the service on-site. 

The role will report operationally to the CLCH Director of Estates and play an important part in the successful delivery of a leading programme for Capita. The role will be based in the Central London Community Health Trust, Parsons Green Health Centre with travel between many of the Trust sites; with some travel to other Capita sites.

We are seeking candidates with excellent communication skills, management accounting knowledge, a good understanding of a transactional finance function, sound commercial awareness and must demonstrate an appreciation for the political sensitivities related to working with the public sector. Experience of working in the public sector or estates facilities management is desirable.

What you will be doing:

  • Assisting the Estates and Facilities team in day to day management of obtaining documentation for accurate CAFM records.

  • To help update plans and occupancy, leases, licenses and other schedules using AutoCAD or similar.

  • Verifying costs and share of costs for the NHS Trust across the Trust sites.

  • Relationship management between the client and other key business stakeholders, and Capita Local Government Business Services and its delivery partners.

  • Working with colleagues and between Capita and the client Trust on budgets, reporting, analysis, with CAFM data, including cost, occupancy dates and space records for the same.

  • Oversight and understanding of the occupancy by service for the NHS Client the department ensuring that all participants understand fully their part in a process and are able to execute their role and responsibilities to meet agreed expectations.

  • Co-ordination of daily and periodic activities, prompting, reminding and liaising with delivery partners, to ensure records are updated and maintained.

  • Resolution of queries and the identification and prevention of potential issues before they arise.

  • Proactive identification of changes in business needs and opportunities for continuous improvement in the delivery of the service.

  • Work in collaboration with the Trust and Estates to meet their requirements whilst ensuring the integrity of the contract is upheld.

  • Identify and implement efficiencies, improve consistency and compliance, and remove any blockages.

  • Management and oversight of small projects to deliver agreed outcomes e.g. month and year end schedules or system enhancements.

  • Ensuring all documentation is updated, current and available.

What we’re looking for:

  • Demonstrable track record of developing and maintaining strong professional relationships at all levels.

  • Evidence of success in influencing, leading, supporting and motivating stakeholders to achieve agreed outcomes.

  • Strong analysis and problems solving skills with excellent attention to detail and a willingness to challenge.

  • Experience of using financial systems and automation to improve operational efficiencies such as ordering systems and software for property management as examples.

  • Excellent communication and inter-personal skills are essential.

  • Broad experience and/or understanding of working in a transactional finance function

  • Ability to manage own workload and prioritise effectively to meet tight deadlines.
