Job Description
Produce monthly reports for Engineering. Manage vacation schedule. Manage absence log. Manage floating worker pool. Order and issue uniforms. Maintain safety training records. Maintain Tag Log. Assist with employee meetings. Produce Building Operation Manuals. Produce Fire Evacuation Manuals. Work on special projects as assigned. Order new and replacement uniforms for workers. Assemble tag work logs for Engineering and Electrical jobs.
HOURS/BREAKS:
- 8 hours a day, five days/week, one hour lunch. Additional time may be required based on workload or special projects. Every attempt will be made to provide notice of when additional work hours will be needed.
JOB DUTIES:
- Produce Engineering reports. Receive raw report files from sites. Edit report narratives in MS Word. Select touch up and arrange photos. Assemble report components using Corel Draw or other software suite. Maintain schedule of when reports are due to clients. Remind workers when report files are due so that completed reports can be sent to clients by the deadline.
- Manager pool of floating workers, assigning workers to cover for vacations and make up for missed hours. Make up missed hours in a timely fashion when work schedules permit.
- Generate and maintain a vacation schedule for Engineering workers. Ensure that there is enough labor to cover for vacations and that vacations do not overlap for workers at the same site or for other key personnel. Maintain a log of missed hours due to illness and other unanticipated absences.
- Maintain an absence log of hours missed due to illness and other unplanned absences. Reconcile absence report with floating worker schedule, making up hours in a timely fashion or advising Operations Manager when make-up labor is unavailable.
- Order uniforms for Engineering workers. Maintain records of uniform issuance and order new uniforms as workers approach one year from last issue. Maintain a stock of uniform shirts for new hire workers, replenish stock as shirts are issued to workers.
- Maintain records of workers’ safety training certificates. Remind workers that have not turned in safety training certificates, completed quizzes or other evidence of completion of required training.
- Maintain log of open work tags for Engineering and Electrical billable work. Generate report of tag activity. Work with Operations Manager and Accounting Manager to reconcile open tags. Gather needed paperwork for cost approval and billing.
- Engineering Meetings. Maintain roster of workers who attend Engineers’ meetings. Assist Operations Manager in scheduling speakers for meetings. Order and pick up food for meetings. Send out reminder notices for meetings. Follow up by phone with workers who have poor attendance histories.
- Generate building operations manuals. Working with Operations Manager, generate manuals for each account that describe daily, weekly, monthly, quarterly, semi-annual and annual required procedures and descriptions of each major system. Produce one-line drawings of electrical, domestic water and HVAC systems using MS Visio or other software. Take pictures of equipment to incorporate into manuals. Review older manuals routinely to ensure that manuals are up to date as changes are made to the buildings.
- Generate fire evacuation manuals. Working with Operations Manager, generate fire evacuation manuals for each account. Create floorplans for each floor, using MS Visio or other software, including fire evacuation route and locations of fire alarm devices, fire extinguishers, fire hose cabinets and other emergency equipment. Take pictures of equipment to incorporate into manuals. Update existing fire evacuation manuals to ensure they are accurate as building conditions change.
- Limited Property Conditions Assessments. Working with Operations Manager, produce limited property condition assessment reports as requested by clients.
- Work on other special projects as assigned.
Minimum Requirements
- Must be able to organize and prioritize work to accommodate multiple and sometimes conflicting deadlines.
- Must be able to develop schedules and checklists to ensure that deadlines are met, including data inputs from workers.
- Effectively communicate to workers the expectations and requirements of data inputs to Engineering reports and other projects.
- Develop building manuals using existing templates.
- Produce one-line and other drawings using MS Visio or other drawing software.
- Assemble documents ready for printing in Corel Draw or other publishing software suite.
- Effectively communicate with office staff, clients and the general public.
- Maintain a professional appearance and demeanor at all times.
