Position Summary:
The EHS Project Coordinator will function as the Lawrenceville (LVL), and North American Office (NAOF) sites EHS Incident Investigations Coordinator utilizing the EHS Data Management System. This scope of responsibility will include internal notifications and reports, database maintenance and tracking of investigations and corrective/preventive actions.
Key Responsibilities:
- Maintain OSHA 300 logs for LVL and NAOF sites and coordinate with Occupational Health team for OSHA Log entries
- Handle occupational injury and illness related records, ensure accuracy of records, gather and input data on EHS Data Management System and develop periodic analysis reports
- Prepare and issues regional safety performance and trend reports for covered sites
- Maintain Environmental and Safety records including periodic report generation
- Manage EHS related training for the LVL/NAOF sites and select areas of other sites as assigned
- Independently determine and assign job classifications and related training curricula based upon existing guidelines
- Proactively review and update training content and assignments to ensure it is up to date and reflective of the current environment and requirements
- Collaborate with trainers, subject matter experts, and program managers to develop new training programs and revise existing programs
- Assign EHS training to BMS staff, contractors, and service providers, and exercise strong judgment when assigning classifications and curricula
- Provide diverse administrative support, including but not limited to, meeting planning & scheduling, initiation and follow-up of purchase requisitions and check request, preparation of routine correspondence, mailings, budgeting, invoicing, vendor/supplier setup and integration, management of internal permits, meeting minutes, and maintaining records systems
- Maintain expense and service order tracking systems
- Key contact for internal customers, researchers, facilities, management, etc. building strong relationships by handling safety/environmental inquiries
- Manage EHS Information Phone line ensuring appropriate routing of calls and voice messages
- Utilize strong communication skills to interact with varied calling audiences and display strong listening and probing skills to determine nature of problem and whether to escalate to EHS staff as appropriate
- Maintain and coordinate confidential regulatory report data and compiles complex reports
- Contribute to creating and maintaining new business processes in the department
- Subject Matter Expert on all stages of incident management process for the region, and representative for region on core team for the Incident Management system
- Provide effective support to management through the development of organizational and/or administrative systems for efficient office management.
- Manage meeting planning and logistics, management of calendars, agenda distribution, format of meeting summaries, and uploading to websites
- Assist in compiling the contributions of team members into project development plans
- Compile departmental summary reports for senior management
- Proactively identify issues and develops innovative and effective solutions to improve EHS operations
Qualifications & Experience:
- Administrative diploma or equivalent and minimum 5-7 years’ experience required
- Previous experience related to the enforcement of federal and state regulations (EPA, NJDEP, OSHA, etc.) is desirable but not required
- Previous experience operating in a team-based environment, working on multiple projects and changing priorities
- Previous experience contributing to or managing administrative projects independently from the point of inception to completion, including those that require multiple skills
- Prior administrative experience in a fast-paced professional environment. Demonstrated ability to effectively handle heavy workload
- Comprehensive working knowledge and use of MS Teams, Outlook Calendar and Email, MS 2007 Word, Excel, and PowerPoint, Audio and Web conferencing, Ariba, SAP, Trackwise, SharePoint, databases, and training management systems. Close attention to detail and follow-up is essential.
- Demonstrated ability to perform a variety of complex administrative, clerical, and project-oriented duties and responsibilities
- Demonstrates an advanced level of competence in computer applications as required by department/position, e.g., SharePoint, PowerPoint, Excel, Word, database, and website management.
- Understanding of finance principles, budgeting processes and prioritizing resources
- Demonstrates strong interpersonal skills in dealing with peers and across different levels of management
- Demonstrated ability to build relationships with peers within the organization and understand the formal and informal structure of the organization. Utilizes these skills to enhance communication and assist in achieving goals.

- Demonstrated ability to work effectively as a member of a team and utilize the contributions of other team members to complete projects

- Experience delivering high-quality products with considerable attention paid to details
- Demonstrated capability to handle confidential information with discretion, deal with sensitive issues in a diplomatic manner, and handle sensitive personnel and company information with discretion to ensure integrity and confidentiality
- Previous involvement in regional leadership team support, professional interactions with senior management, and their support staff
- Knowledge/understanding of OSHA Recordkeeping Guidelines
- Mastery of word processing, presentation graphic, spreadsheet, database, file management, and website management
- Excellent verbal and written communications skills
