Cox Enterprises is looking for a Corporate Services Administrative Assistant. The Corporate Services Administrative Assistant provides a variety of administrative support duties for the C-Tech – Corporate Services Department. These duties include, but are not limited to, providing administrative assistance to one (1) Director and one (1) one Manager, monitoring “Service Now†facilities tickets and distributing work orders to facilities techs, processing and validating department invoices, and processing/validating invoices for payment.
Primary Responsibilities and Essential Functions:
Provide administrative assistance (department correspondence, filing, mail, expense reports, etc.) to the Director of Corporate Services and Corporate Services Manager
Assists the Manager with monitoring the Axiom/Service Now work order system. Helps distribute work orders, follows up to close out tickets with the Help Desk and assists with coordinating completion of tasks with department and external vendors
Serves as a resource in answering questions and requests for customers, staff, vendors, etc.
Order and maintain adequate supplies for department use
Reconcile P-card monthly charges and complete regular expense reports
Prepare and install name plates for missing or misspelled names in the building
Set up and maintain supplier and vendor files
Process and validate invoices for payment
Function as liaison for Corporate Services to occupants in both buildings
Respond to facilities’ related requests and take action to resolve in an efficient and timely manner
Schedule meetings/conference rooms when requested
Function as a rover covering all floors and keeping an eye on anything relating to facilities
Supports and assists other departments with planning and set-up for miscellaneous events (blood drives, flu shots, etc.) in the building
Assist in space planning, seating assignment documentation and coordinating moves
Attends meetings as needed and reports to appropriate managers/contacts any information needed to address items that were discussed
Helps conduct building "walk arounds" with Facilities team to look at areas needing attention/maintenance and communicates action items with appropriate parties/vendors
Schedules, coordinates, and attends housekeeping inspections
Communicates and distributes the weekly activities, events, corporate communications, etc. to the Corporate Services team
Assists with preparation of budgets, monthly cost updates, etc.
May prepare, organize, and maintain documents of a complex or confidential nature
Be receptive to other duties/responsibilities as assigned by the Director/Manager
Qualifications:
Minimum

Initiative-taker with at least 3 – 5 years administrative experience in a multi-tasking, dynamic and customer service-oriented environment. High school diploma (or equivalent) required
Excellent customer service skills with experience and a proven track record in a customer service environment
Must possess strong organizational skills with attention and focus on details
Must have good mathematical skills and some degree of understanding of accounting systems
Proficiency in Excel, M/S Office Suite, Outlook, Adobe Acrobat
Ability to prioritize multiple tasks with minimal supervision. Flexibility and confidentiality are essential
Must be able to communicate clearly and concisely
Must have good interpersonal skills and ability to work as a team player
Ability to interact in a professional manner with department members, all levels of Cox internal customers (including Executives) and vendors/service providers
Strong written and oral communication skills with attention to detail
Willingness and ability to be cross trained for multiple job functions
Preferred
Experience with excel and bookkeeping preferred
College degree or college course certificates preferred
Property management
Building facilities and/or related experience (construction, building services providers, electrical/HVAC/plumbing vendor, etc.) preferred
