The Corporate Communications Administrator for Colgate-Palmolive will be a positive, collaborative, organized and detail-oriented individual who wants to help reimagine a healthier future for all people, their pets and our planet. What you will do:

Meetings are how things get done at Colgate so managing calendars is a huge part of this job. It’s a logistical challenge that requires constant oversight and adaptation to everchanging demands. In many ways, it can feel like air traffic control!

Schedule and manage ongoing meetings, including one-on-ones with executives, team members and functional leaders

Schedule work meetings with multiple stakeholders, ensuring that agendas, pre-meeting materials and attendees are noted; Manage ongoing meetings

Provide real-time alerts to participants

Own the corporate master events calendar, sourcing and updating global events and serving as liaison to other executive administrators.

Coordinate travel, including ensuring logistics and details are documented and confirmed.

Financial Oversight

Manage expense reports for CCO

Manage and track POs and department expenses, ensuring timely processing

Relationship Building

Work closely with other senior level administrative assistants to ensure maximum efficiency and effectiveness

Team Meetings

Coordinate monthly lead communicators call agenda by gathering topics and materials from speakers and routing agenda to call participants

Manage weekly editorial meeting ownership

Organize bi-weekly team meetings, including team-building question/exercise

General Administrative Support

Manage subscriptions, copying, scanning, mailings, distribution lists and update org charts

Liaise with contractors, creative partners, GIT

Presentation & Communications Support

Help source, upload, and tag photos, videos, artwork from around the world o Periodically weed out outdated photos o Handle requests from people looking for photos o Upload and tag videos

Performs other duties as assigned

Complies with all policies and standards

 

Required Qualifications

High School Diploma

At least 7 years experience at a global organization supporting senior executives

Advanced knowledge of Google suite, Slides, Gmail, Xcel

Comfortable learning new technology systems

Excellent organizational skills

Exceptional ability to multi-task and manage ongoing projects against daily tasks

Outstanding verbal and written communication skills and polished demeanor

Superior attention to detail

Demonstrated ability to work independently, manage competing priorities and meet tight deadlines

Ability to remain flexible and adaptable in a rapidly changing environment

Ability to maintain official documents and records, recognizing confidentiality of sensitive information.
