Job Description

The Contracts Administrator & Legal Operations Analyst is an integral part of the Legal and Compliance team and will manage the global collection of contracts, agreements, settlements, and other relevant documents. This individual is responsible for maintaining the electronic contract management system to ensure that all contracts are appropriately executed, organized, and stored, along with monitoring and ensuring that key contract dates (e.g., expiration, renewal notice) are handled appropriately. The position’s responsibilities also include management of the company’s electronic legal invoice billing system, assisting the department’s attorneys with budgeting and forecasting, evaluating processes and technology solutions to drive operational efficiencies across the department, invoice review, and performing administrative tasks to assist the attorneys.

Job Responsibilities:

•    Create, organize, and maintain electronic records of legal documents as required;
•    Read relevant documents to determine pertinent information for inputting into the contracts management system;
•    Ensure all relevant contracts are properly and fully executed;
•    Create and maintain calendar of all relevant dates to ensure all actions are executed timely;
•    Create and maintain calendar of all joint venture dividend payment dates and receipt of same;
•    Communicate with Finance regarding contractual financial obligations and payments;
•    Serve as the primary contact for contract administration requests;
•    Draft documents, letters, emails, etc. with minimal assistance;
•    Assist with budget monitoring and reporting for high value litigation;
•    Assist attorneys with regular reporting of high value litigation to senior executives;
•    Manage the department’s e-billing and matter management system, including, working with the legal and compliance team to ensure that invoices are processed timely, and ensuring the data in the system is up-to-date and accurate; 
•    Categorize and interpret documentation and data; review and analyze reports;
•    Manage and report on legal spend analytics, deriving metrics and key performance indicators,     benchmarking them against industry data and determining areas of opportunity for value and savings; 
•    Create and display metrics for the legal department; 
•    Assist with budgeting and forecasting process for monthly financial reporting, including providing accrual information to Finance, and working with outside counsel to ensure budget information is uploaded in the department’s e-billing system; 
•    Review invoices from law firms and vendors for compliance with billing guidelines and conformance to budgets; 
•    Assist in preparation of PowerPoint and other presentations to senior management; 
•    Perform other related duties, as required or requested
 

JOB REQUIREMENTS

QUALIFICATIONS

•    Bachelor's level degree preferred 

•    Minimum of 3 years of contract administration experience and/or paralegal experience

•    Paralegal certification Certified Professional Contracts Manager (CPCM) or Certified Commercial Contracts Manager (CCCM) preferred

•    Effective use of interpersonal and communications skills including tact and diplomacy

•    Effective use of organizational and planning skills with attention to detail and follow through

•    Ability to maintain confidentiality of work related information and materials  

•    3-5 years of experience in corporate legal department or law firm 

•    Proficiency with Excel, PowerPoint and Microsoft Word 

•    Experience in analytics, process improvement and/or change management 

•    Experience with Oracle preferred 

•    Experience with Legal Tracker preferred 

•    Excellent verbal and written communications skills  

•    Excellent research and analytical skills  

•    Technological aptitude and ability to learn new technologies or systems  

•    Strong initiative required; ability to work independently with minimal supervision is a must 

•    Strong organizational skills and attention to detail, and ability to manage multiple priorities and assignments simultaneously 

•    Exceptional communication and relationship building skills  

•    Ability to work productively with company personnel at all levels
