Summary of the role:
The incumbent is responsible for the coordination of Commercial vehicles and facilitating the reconditioning and lot movement in a timely fashion while working closely with our clients and OEM’s. This role requires establishing and maintaining computerized inventory records of vehicles, data entry and continuous updates of vehicle information including but not limited to identification, condition, and sale status. This role also involves preparing daily reports and working closely with other Account Representative and Account/Lot Coordinators
Responsibilities:
Perform data entry in AS400
Manage account relationships, maintaining effective communications and ensuring customer requirements are met
Verify vehicle eligibility for the sale and provide customer with inventory reconciliation reports and audits.
Update vehicle files on a continuous basis with standardized abbreviations to assure that vehicle location, condition, announcements, and other activities relative to the vehicle are properly recorded
Seek floor price information from Account Representative and enter it into computer system
Send electronic condition reports, invoices and bills of sale.
Prepare sale vehicle run process including run order, scheduling, notice to customer account, etc.
Follow up on vehicle preparation for the sale by reconciling incoming bills against ordered work/repairs for each vehicle
Work with vendors and/or Account Representative when the information is missing, or problems occur
Communicate with accounting department to balance the sale and perform post- sale invoicing for accounts receivable as needed
Maintain and update physical vehicle inventory files that document all activities relative to each customer vehicle, assuring accurate sale processing/closing records

Qualifications:
High school diploma or equivalent
2 years experience in an administrative role will be considered an asset
Valid driver's license
Good communication skills
Strong sense of organization, with unparalleled attention to detail and time management
Ability to multitask and adapt to change in a dynamic environment
Comfortable with digital platforms and knowledge of MS Office
Ability to perform repetitive data entry tasks, manual dexterity
Ability to work in a team setting as well as individually
