As the Board Events Coordinator, you play an integral role in the planning and execution of meetings and events for the Fidelity Board Program. You will be part of a shared service model providing administrative and operational support for Board meetings. The Events Coordination Team is responsible for the planning, communication and execution of logistical tasks and activities for several Fidelity boards. These activities include, but are not limited to: arranging for, coordinating, communication of, transportation, hotel accommodations, meeting invitations, customized agendas, expense reporting, room preparation, seating, food service (internal and external), dinner and event venues, technology, office support, and special requests. You will have the opportunity to develop expertise and cross-functional knowledge across all Boards to support activities across the Board Program. You will:
Manage a complex and ever-changing shared calendar
Schedule and coordinate prep meetings related to board meetings
Be the subject matter expert on subscription management, dry-run meeting planning, board conference room reservations and board related scheduling
Coordinate travel, organize expense reports, process invoices, and develop itineraries
Lead small virtual board meetings and trustee training events
Assess deliverables in context of evolving board calendars and coordinate across group to ensure adherence to schedule
At least 1-3 years of work experience in a professional office environment in project/event management, administration, or program support
Strong communication, project, event, and time management skills (Zoom Video knowledge preferable)
Proven ability to prioritize work and operate effectively within a high-profile environment
Thrive working on multiple, concurrent projects, and able to do so independently
Eager to take initiative, embrace uncertainties and build productive relationships
Ability to work with all levels of the organization and with external clients, including a proven track record of maintaining a high level of confidentiality
Strong technical skills in all MS Office suite applications (Teams, Outlook, Word, Excel, SharePoint, and PowerPoint, OneNote)

The Board Program is responsible for the successful management of content, process, communication, and logistical activities as related to matters of Fidelity’s mutual fund boards. In addition to the coordination and management of the board process, the Board Program is responsible for providing oversight and direction to successfully align the board strategy with Fidelity’s overall strategy.
