Job Description

We seek an experienced Bid Coordinator to join our talented central bid team. The ideal candidate will focus on non-strategic bids in our Environment, Health & Safety & Technology Business Units, with a primary focus on the environment sector. They will coordinate and produce high quality response documents in accordance with our bid management process and to meet the requirements of the client.

Responsibilities also include bid planning, coordinating compliant responses from subject matter experts, document creation and development, organising reviews and approvals, and submission of the bid in line with client timescales.

The role will involve liaison with Opportunity Managers, subject matter experts, and other bid team members.

Our ideal candidate will have at least two years of relevant professional experience, demonstrate good organisational skills and abilities, have a high level of attention to detail and be able to work under pressure.

Job Description:

What you’ll be doing:

  • Organising and coordinating the activities necessary to produce and submit high quality compliant prequalification questionnaires and tenders associated with non-strategic opportunities.
  • Supporting Bid Managers when required in responding to high priority and strategic tenders.
  • Monitoring e-portals to ensure our Business Development Community and Bid Teams have early sight of new opportunities and tender information.
  • Complying with our established bid management process, including establishing and maintaining opportunity specific Office365 data environments, establishing schedules of requirements, bid plans, and organising progress and quality reviews.
  • Actively help maintain our knowledge repository.
  • Advocating adoption of good practices and advising Opportunity Managers of gaps in information.
  • Contribute to continuous improvement by organising and participating in lessons reviews and sharing lessons learned.

What we’re looking for:

  • Good working knowledge and experience of coordinating non-strategic bids, adapting your approach to meet the complexity of the bid.
  • Requirements management: Be able to identify the client’s needs to develop a schedule of requirements.
  • Planning and Scheduling: Be able to define the fundamental requirements of a bid and produce and maintain schedules of activities to realise the efficient delivery of a bid.
  • Resource management: Be able to identify the resources required to deliver a bid.
  • Quality management: Be able to plan and coordinate a quality management process to ensure the target quality of a bid is achieved.
  • Knowledge management: Be able to identify, share and promote best practices and lessons learned towards creating an environment of continuous improvement.
  • Practical experience of complying with governance requirements at various bid stage gates.
