What You’ll Do for Us

  • Maintain complex daily calendar and own the scheduling process for all meetings
  • Receive, review, and record phone, email, and written requests for my time for internal and external parties; work across TCCC organization to resolve schedule conflicts
  • Plan & organize domestic & international meetings agendas and venues
  • Coordinate domestic & International travel arrangements.  Proactively ensure travel arrangements meet manager needs for maximum productivity
  • Provide a variety of business support such as developing and/or distributing PowerPoint presentations, letters, memos, etc.
  • Provide support with highly confidential materials/documents
  • Manage & Administer Travel and Entertainment expense reporting and invoices by processing as needed on time ensuring correctness.
  • Prepare reports, conduct tracking, and maintain budget
  • Organize & maintain departmental files and supplies
  • Assists in coordination and organization of broader project plan to help keep projects on track, on budget, meet deadlines, keep team members
  • Responsible for managing and maintaining the project in tracking software and tracking progress and identifying/resolving obstacles.
  • Partner with the project/agile leader to understand vital aspects of the projects and provide support in the execution of project activities
  • Responsible for being the first line of contact between external partners, vendors, and supplier questions or issues, maintaining contact information and databases.

Qualification & Requirements

  • A minimum of 3 years experience in a project environment role, preferably with some experience in a customer or commercial-related team.  
  • Great organization skills /work prioritization/ collaborative planning skills 
  • Thrives in a multicultural and fast-paced work environment 
  • Collaborative planning skills 
  • Works well under timelines 
  • Flexible and adaptable to change 
  • Comfortable with digital tools and learning new ways of working.   
  • Proactive results-driven and comfortable to put solutions on the table 
  • Experience prioritizing work
  • Experience in working with multiple cross-functional managers and administrative assistants in dispersed settings around the world
  • Strong verbal and written skills, will need to deal with all levels of management internal and external
  • Excellent follow-up skills
  • Ability to effectively handle multiple tasks
  • Self-Motivated Pro-Active Team Player a MUST
  • Team player skills with a desire to cross skill and a willingness to work flexibly across all team processes 
  • Strong analytical and problem-solving skills 
  • Proficiency with Microsoft Office tools, in particular writing white papers and creating PowerPoint presentations
  • Relationship building skills, experience in stakeholder management, and working with cross-functional teams around the enterprise 

Software Packages:

  • High-level proficiency in MS Word, Teams, PowerPoint, and Excel
  • High level of proficiency/Experience with Outlook
  • Willingness to learn new software packages
  • Basic Knowledge of KO Systems (Workday, Concur travel, etc)

Additional:

  • May require working non-core hours during peak periods and varying time zones
  • Ability to flex your schedule based upon either my or the departments' obligations
