Job Summary:
As part of the Latam Division team, this position is responsible for providing overall administrative support, ensuring the smooth and efficient operations of the Latam Division providing support to Division Marketing, Customer Development and Legal.
Main Responsabilities:
Communicate clearly and effectively in verbal, written and electronic media
Initiates and composes both routine (schedules, letters, memos, e-mails) and non-routine correspondence (surveys, minutes, project plans, announcements and continuous improvement ideas) with significant narrative.
Composes and proof-reads both routine and non-routine correspondence with attention to details and minimal supervision
Independently prepares responses to requests and/or takes appropriate actions and advises manager of actions taken
Arranges domestic and international travel for trips which may include several destinations
Utilizes the Internet to research information as it relates to support travel itineraries
Independently prepares travel itineraries including all key contact names and numbers
Prepares travel expense reports with minimal supervision
Manage travel visa needs by sending all relevant information to secure required documentation
Proactively manages and coordinates calendar and schedules meetings
Provides administrative support for onsite or offsite meetings to include meeting planning & logistical coordination with people from multiple locations and/or functions; May be required to be physically present to provide administrative assistance at off-site meetings
Troubleshoots equipment issues in conference rooms prior to and during any meetings
Coordinates logistics for outside visitors including schedules, meeting room reservations, etc.
Adept at coordinating meetings using new technologies and is a power-user and training resource for new meeting technologies – video/audit/net conferencing
Supports departmental budgets.
Codes and monitors expenses to budget, resolves budget discrepancies
Creates, processes and follows-up on all invoices and purchase orders in a timely fashion and troubleshoot any issues in a timely fashion.
Takes initiative to simplify systems and processes to eliminate unnecessary work.
Main Qualifications:
At least High School Diploma
GED (Bachelor's Degree preferred)
Demonstrated ability of at least 2 years of experience with previous executive / high level administrative support experience
Ability to speak and write in Spanish fluently.
Demonstrated proficiency using G SUITE products (gmail, sheets, docs, slides, google meet, etc) ; Concur expense management system; AMEX travel management system; as well as an aptitude to learn other programs as preferred
Adept at coordinating meetings using existing and new technologies
Ability to interface with high level executives
Proven project management skills
Proven continuous improvement and documentation skills
Ability to manage in a fast paced, high volume environment
Ability to work under extreme pressure and deadlines if required
Displays a sense of urgency
Must be flexible and have the ability to multitask
Analytical capabilities and attention to detail
Collaborative nature and team spirit
Strong ability to prioritizes work demands
Self-starter, works well without detailed supervision
