Abbott Vascular currently has an opening in our SANTA CLARA location for an ADMINISTRATIVE ASSISTANT III to support a cross-site Environmental Health and Safety team.  Working under general supervision, organizes, plans and performs a variety of clerical and administrative support duties.

 WHAT YOU’LL DO

  • Responsibilities include all administrative functions of the department: answering phones, calendar management, scheduling travel, managing correspondence, processing expense reports, meeting/event planning, creating or modifying business documents, handling teleconference and equipment setups, acting as a liaison for remote access issues.

  • May include some support for tracking budget expenditures and submitting invoices to finance.

  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).

  • Uses basic to intermediate software skills to perform work assigned.

  • Coordinates new employee office set-ups and on-boarding.

  • Basic to intermediate knowledge and understanding of business processes and requirements.

  • Orders and maintains the office supply inventory for the department.

EDUCATION AND EXPERIENCE, YOU’LL BRING

REQUIRED

  • High School Diploma / GED or other specialized training.

  • Minimum 2 years previous admin experience or equivalent.

  • Must work cooperatively and productively with others.

  • Organizational skills, attentiveness to detail and the ability to work under general supervision is required.

  • Must be adept at handling multiple assignments in a timely manner while meeting assigned deadlines.

  • Must also have strong verbal and written communication, interpersonal, organizational and basic math skills.

  • The ability to read, write, and communicate effectively in English is also required

  • Must be able to use discretion and handle sensitive/confidential information.

  • Basic to intermediate knowledge of Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site

  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment.

  • Multitasks, prioritizes and meets deadlines in timely manner.

  • Strong organizational and follow-up skills, as well as attention to detail.

  • Ability to maintain regular and predictable attendance.

  • Occasional scheduled overtime is a requirement of this position.

  • Knowledge of Abbott Laboratories Standard Operating Procedures (SOPs) is preferred

PREFERRED:

  • Associates Degree (± 13 years) in Business Administration is preferred.

  • Experience in the biotech, bio-instruments, or medical devices industries is also preferred.

  • Experience working in a broader enterprise/cross-division business unit model preferred.
