Job Description
​Position Summary
ABM, a leading provider of integrated facility services, is looking for an Administrative Assistant/Receptionist. This is a front-line position where time, attendance and reliability are very important. This job alternates between Receptionist and Administrative Assistant duties as needed and greets clients and visitors to our branch office. This includes giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones, and taking messages, and sorting and distributing mail. This position is responsible for assisting with various projects including recruiting efforts and handling moderate to complex administrative tasks.
To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience in an administrative role required.
Responsibilities:
• Assist in on-going sourcing and recruiting efforts.
• Approach candidates through various sourcing sites and venues to match to open positions.
• Assist candidates through onboarding process.
• Assist in distribution of payroll checks.
• Assist colleagues with administrative tasks.
• Perform other ad-hoc administrative duties.
• Greet employees and visitors with a positive, helpful attitude.
• Assist visitors in finding their way around the office and announcing them as necessary.
• Answer and screen phones in a professional manner, and route calls as necessary.
• Provide excellent customer service.
• Help maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
• Assist with a variety of administrative tasks including copying, faxing, taking notes, and filing.
• Sort and distribute mail.
• Manage booking of meeting and training rooms.
• Maintain office calendar and scheduling appointments.
• Arranging and organizing group catering activities.
Minimum Requirements
• High school diploma or equivalent. Associate or bachelor’s degree preferred.
• Bilingual in English and Spanish.
• Prior experience as a receptionist or in a related field.
• Consistent, professional dress, and manner.
• Excellent written and verbal communication skills.
• Competency in Microsoft applications including Word, Excel, and Outlook.
• Good time management skills.
• Experience with administrative and clerical procedures.
• Able to contribute positively as part of a team, helping with various tasks as required.
