Vacancy for half-time position as Administrative and Communication Assistant The Institute for Interdisciplinary Innovation in healthcare (I3h) at the Université libre de Bruxelles (ULB) is looking for an enthusiastic Administrative and Communication Assistant (Part-time job). Context of the I3h Institute We aim at educating the next generation of healthcare professionals and developing scientific knowledge to efficiently contribute to the development of innovative technologies and strategies. Our vision is to bridge competencies and expertise from various disciplines and foster collaboration to contribute to patient-centered healthcare advances. I³h is located on both Campus Solbosch and Erasme of the Université libre de Bruxelles (ULB), Brussels, Belgium. Multidisciplinary by nature, I³h is organized as a virtual institute, that is a collaborative research and education environment, linking complementary expertise to elaborate and educate on innovation in healthcare. In 2016the Université libre de Bruxelles (ULB) and the I3h Institute created, with the support of the Fund Baillet Latour, an Educational Program in Healthcare Innovation. The Educational Program aims to educate students, PhDs, post-docs and professionals operating in healthcare and related sectors. The portfolio spans different modules providing a holistic view of the health system, and develops the competencies to meet scientific, clinical and regulatory challenges but also address organizational, business, management and societal issues. I³h Institute is involved in multiple (European) projects: ADVANCE Erasmus+, Fondation Roi Baudouin, etc. Responsibilities • Support in administrative tasks for our various (European) projects: financial administration, human resources, prepare and edit documents, spreadsheets, and presentations, etc. • Support the implementation of the educational programs and the organization of events: contacts with students and teachers, logistics, organizational aspects, programmes, evaluate feedback and suggest ideas and improvements, etc. • Assist in the effective organization of external and internal activities by handling logistics and travel arrangements • Support I3h's communications activities: website updates (WordPress), online publications (Twitter, LinkedIn), printed brochures, PowerPoint presentations, Canva, Adobe Suite is a plus. • Support the development of our Alumni network • Assist in office management: Update tracking files, databases and other documents related to the logistics • Handle ad hoc requests and queries from senior managers • Help with I3h technical equipment and facilities • Report to the Educational Program - Communication and External Relations Manager Required Profile • Have EU nationality and/or right to live and work in Belgium without a work permit • You have a Bachelor in Communication or Administration and/or have previous experience in general office administration. • Autonomy, punctuality, flexibility, attention to detail and problem solving skills • You have excellent computer skills in Microsoft Office (Outlook, Excel, Word, PowerPoint) Excellent and verbal communication skills Strong organizational skills with the ability to multitask You strive for quality and efficiency You are fluent in written English (French or Dutch is a plus) Previous experience in education is a plus Knowledge and Interest in healthcare is clearly a plus Offer I3h Institute is offering a half-time position (19h/week - working hours to be discussed with the manager). • A fixed-term contract of 1 year, with possible extension • A stimulating and varied job in a professional and dynamic organization • Pleasant and stimulating working environment • Opportunities to evolve thanks to an extended network in the healthcare sector on the national and international level • Salary according to your experience and level of ULB advantages Application Procedure Please send your CV and cover letter by June 17th to info@i3health.eu with the subject line “Administrative and Communication Assistant - Application”.
