Position Summary:
The Absence Data Specialist works closely with the HR Capability Center team to ensure the integrity of the absence data entered into the Workday Human Capital Management System (HCM). This position will manage all leave of absence transactions in Workday and any relevant time off adjustments (accruals and corrections) for employees in the Americas Region.
Detailed Position Responsibilities:
Administration and maintenance of all leave of absence transactions within Workday including updating of leave dates and state benefits where applicable. This includes review and approval of transactions entered via employee or manager direct access, data entry for transactions identified on the vendor reports, and review and update of any integration kickouts.
Supports the integrity of employee records and Workday data, assuring legal and regulatory compliance.
Maintains reasonable communication with employees as needed to facilitate smooth and timely leave transition, relays communication between employees and their managers during leave within reason.
Advises managers and employees on the interaction of leave laws with paid time off and disability benefits.
Monitors return to work actions and conducts manager follow-up for all countries within the region.
Reviews reports and makes updates to the Workday data based on identified discrepancies.
Identifies and troubleshoots issues and escalate as appropriate.
May recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
When needed, provides employees with pre-determined employment letters based on clear guidelines/parameters
Preserves confidentiality of employee medical documentation and files.
Makes process recommendations to achieve operational excellence, documents process changes, and updates process maps
Participates in special ad-hoc projects and perform other duties as assigned.
Minimum Requirements/Knowledge Desired:
Degree required and a minimum of 1 - 3 years relevant experience.
Knowledge of country, state and federal leave laws.
Strong written and verbal communication skills, strong interpersonal skills.
Ability to work successfully in a fast paced and continuously changing work environment.
Detail oriented with a focus on accuracy and quality.
Proficiency with MS Excel and a proven ability to manipulate data (V-Look Ups, Pivot Tables) and an ability to learn required business applications.
Ability to learn quickly and apply knowledge effectively.
Knowledge of HRIS/HCM systems, preferably Workday.
Knowledge of vendor leave management systems.
Collaborates effectively in a team environment.
Language Requirements beyond English: Proficiency in Spanish is preferred but not required
